Job Summary/General Purpose of Job Performs complex administrative support activities in support of an Associate Executive Director or higher position.Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)Performs diverse, complex, and highly confidential administrative and secretarial support in support of a senior executive staff member.Utilizes an advanced understanding of the Association's policy, procedures, and practices to optimize day-to-day operations and to mitigate any administrative disruptions or interruptions of the assigned senior leader.Independently responds to inquiries from members, senior leaders, and department heads based upon an understanding of operations, referring only the most complex matters to the senior staff member being supported.Creates and/or modifies processes which reduce waste, optimize deliverables within the department budget, and/or improves services to our members and our co-workers.Maintains the utmost confidentiality of the information of which they use and/or become aware of through the normal course of business.Prepares agendas and records minutes of meetings.Independently prepares special reports and analyses and provide findings and recommendations to the supervisor.Creates and/or modifies processes which reduce waste, optimize deliverables within the department budget, and/or improves services to our members and our co-workers.Maintains the utmost confidentiality of the information of which they use and/or become aware of through the normal course of business.Prepares agendas and records minutes of meetings.Independently prepares special reports and analyses and provide findings and recommendations to the supervisor.Screens calls and visitors, drafts correspondence, schedules meetings, makes travel arrangements, and monitors progress against goals of the directs to the senior staff executive.May provide work direction to other administrative staff to ensure project completion and to ensure work balancing across the division.May provide assistance to the senior executive at ABA meetings, external meetings, and symposia.Performs other related duties as required.Required Education, Qualifications, ExperiencePossession of a high school diploma/GED.At least five years' experience providing administrative and secretarial support to a senior leader in a business.Previous experience working with highly confidential information and maintaining the confidence of such information.Advanced level skill in Microsoft Word (for example: adding developer tab, creating a macro, formatting table style, inserting comments and/or creating a mail merge)Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).Preferred Education, Qualifications, ExperiencePossession of an associate degree or higher.Previous budget management experience.Physical RequirementsTypical office work environment.Extent of Travel Required in the JobAs a normal course of business, this job will typically require travel up to 10% of the time.
