Job No: 533287; 1/23/2024FYC ADMINISTRATIVE SUPPORTAdministrative Support Coordinator IEarly Academic PrepSalary Range:$3,505 - $5,508/Monthly Work Schedule:Full-Time, Monday – Friday, 8:00 a.m. to 5:00 p.m.; temporary appointment, expires on or before one-year from date of hire; may be extended, may become permanent; non-exempt classification.Essential Functions:Under the immediate supervision of CAS- Early Academic Preparation Director, the incumbent will manage the day-to-day administrative operations of the programs and services in Early Academic Preparation: Early Assessment Program, the summer Early Start Program, First Year Connections, Timely Support, the Peer Leader Program, and the University Testing Center. The incumbent will schedule meetings and provide essential support in the coordination, implementation, and evaluation of specialized projects/programs; use critical thinking, reasoning, and prioritization to address a wide range of unique problems and interactions with university students, faculty, staff, high school counselors, some parents, and other CSU's. The incumbent will be required to interpret policies and procedures regarding First Year Connections and the Summer Early Start Program; interpret scores related to multiple measures that place students in their required math/English courses and provide students with information about the Early Start Program. The incumbent will support the First Year Connections Advisor with gathering and analyzing data and assist with messaging and nudging students required to complete their first-year math/English courses. The incumbent will oversee in-house exams that support student advancement such as ALEKS PPL and ACT for on-campus specialized groups and enter scores into the university's system for math course placement. The incumbent will perform administrative duties that include responding to and directing student inquiries; screening students' complaints or problems which may require some research and troubleshooting to resolve academic related problems. Reconcile accounts monthly and provide information to the Director as well to UGS and Academic Affairs. The incumbent will supervise student assistants; submit student assistant hiring paperwork, train, and process their hours worked.Required Qualifications & Experience:The incumbent must have three year's general office experience which includes on-going work coordination and/or lead responsibilities with notable accountability for the work results of support staff. The incumbent must have thorough knowledge of office productivity software, including word processing, desktop publishing, and spreadsheet and database functions, and familiarity with the University network system. The incumbent must have the ability to work effectively on an individual basis, as a member of a highly functional team and with a broad range of people to help promote a student-centered environment; draft and compose correspondence and standard reports; take minutes and track action items; respond effectively to rapidly changing conditions; and to effectively handle a broad range of interpersonal contacts. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University.
