They also schedule appointments and do administration tasks. Responsible for the day-to-day running of the business and/or organization and provide support to managers and other staff. Essential Duties and Responsibilities: Open office on production days Greet patients, visitors or vendors with a smile Data entry and processing Register patients and notify appropriate staff of their arrival Check messages and return phone calls as needed Answer general enquiries about the organization Make appointments for existing patients (recall/ treatment) Schedule New Patient appointments and emails welcome packet of paperwork Administrative tasks like typing, filing, photocopying and sorting mail and faxes Collect financial obligation from patients with treatment/surgical and hygiene appointments and following financial policy Cash, check and credit card handling Maintain accounts and patient records Maintain patient privacy according to HIPAA Prepare patients for treatment (including treatment plans with signature from patient) Verify patient insurance information Sends all Pre-Determinations for all patients for all doctors Receives all Pre-Determinations and inputs information in computer and calls patient to schedule treatment, if not scheduled Calling on unscheduled treatment for all doctors Confirm all Doctor's surgery patients by phone and remind patient of financial obligation Purging inactive patients/charts Printing schedules and distributing them (morning meeting and throughout the office) Morning meeting notes Set up of answering voicemail Give daily reports to Doctor(s) to check for accuracy Coordinate patient flow Produce office forms (ex: privacy consent forms, treatment consents, flex receipts) Update referring Doctor list Reviews each patient ledger to ensure proper coding and allocation per Dr.'s and hygienists Settle credit card payments at the end of each day Open and distribute mail Follow up on insurance claims that need additional information and outstanding claims Getting bank deposit ready and remote depositing items Sending patient statements Collections- Accounts Receivable Run aging and unpaid claims reports Calls patients with past due accounts Letters for patients with past due accounts Turn accounts over for collection Posting insurance payments when received Follow up on referrals that have not scheduled Promoting excellent customer service by all levels of the staff Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences. Support business goals by utilizing schedules effectively and supporting the practice revenue objectives. Education and/or Experience: Knowledge of business and accounting processes usually obtained from an Associates or Bachelor's degree in Business Administration, Accounting, or Health Care Administration. Experience may substitute for education. Knowledge, Skills, and Abilities Required: Knowledge and experience in all aspects in dental front office tasks. Knowledge of regulations related to Medicare and commercial insurance. Knowledge of administration policies, systems and procedures Skilled in using healthcare software and computer systems Knowledge of maintaining supplies and equipment for the medical setting.
