Full job description The Consulate General of Ireland, Los Angeles is seeking an experienced, highly motivated, enthusiastic and hardworking person with excellent numerical, administrative and organisational skills to fill the position of Finance Officer/Administrator position in the Consulate on a 24-month contract.
Position Full-time, Mon-Fri, 40 hours per week, with standard office hours from 9am-5pm.
Location Consulate General of Ireland, 6300 Wilshire Blvd, Los Angeles, CA 90048, United States.
Salary The gross annual salary for this role is $61,208.63 - $78,797.93, with 7 increments based on satisfactory performance.
Pension Benefit from a Non-Contributory Pension Scheme (Terms and Conditions Apply).
Annual Leave 20 days paid per year plus public holidays.

Main Responsibilities This key role will involve, among other functions:
Preparation of the monthly Consulate General accounts; Preparation of the Consulate's budget and pre-budget submissions; Accounts system (SUN) administration in consultation with diplomatic staff; Payment of invoices and liaison with service providers; Administration of Chancery (Consulate Office) Overseeing Chancery general maintenance, including communication with landlord and service providers re (small) repairs, service charges, utilities, maintenance, etc.; Management of Mission supplies; Executing other administrative tasks including procurement as required by diplomatic staff; Overseeing of staff travel - booking of flights, accommodation; Oversight of Consul General's diary Essential Requirements Minimum 2 years relevant experience especially in the area of book-keeping and accounts; Good numerical skills; The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organizational skills, attention to details, and effective communication, ability to work under pressure and to manage multiple tasks; The candidate should provide examples of being solution-oriented, and committed to delivering results, including by adapting approach if necessary; The candidate must demonstrate using examples, their working knowledge of Microsoft Office Suite (Outlook, Word, Excel); The ability to work on their own initiative and to be flexible in the work they are required to undertake. All applicants must have a permanent legal right to reside and work in the USA (US passport/ US birth certificate/ US naturalization/ valid Green Card) prior to application. As a US citizen/resident, you are personally subject to US social security and self-employment taxes while employed at the Consulate General of Ireland, Los Angeles. Desirable Skills and Experience The successful applicant will work alongside other local employees of the Consulate, and will report directly to the diplomatic staff in the Consulate. Previous experience in a diplomatic mission and knowledge of Ireland are desirable. Terms and Conditions of Employment Salaries are paid direct to a bank account: therefore, the successful candidate must have a bank account; The successful candidates will be hired on a 2-year fixed-term contractual basis and will be based at the Consulate General of Ireland in Los Angeles. Contracts are governed by US labor laws in accordance with Federal, State and Local Employment Law. Please note that, where applicable, the Mission does not withhold taxes at source, therefore the successful candidate is responsible for all taxes including social security contributions. On request, successful candidates must be in a position to provide evidence of their compliance with applicable tax and social insurance obligations. The successful candidates will be responsible for making their own arrangements regarding local transport, health insurance and accommodation whilst employed by the Permanent Mission of Ireland. Hours of attendance will be as fixed from 9am to 5pm and will amount to on average not less than 40 hours per week. Where extra attendance is necessary, time off in lieu will be allowed. The positions will have an annual leave allowance of 20 days per annum, adjusted where necessary pro rata. It is planned the interviews will be held before the end of May 2024 and candidates should be in a position to take up the position in June 2024. A skills test will be included in the recruitment process; A second interview may be included in the recruitment process; and A panel may be set up depending on the quality of candidates. Security Clearance for Local Staff Police security clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position, they will be required to supply this information again.
