The Facilities Operations Assistant Manager assists with the management of maintenance and repair of leased building services, fixtures, and equipment, environmental services for leased and owned sites, and manages staff and building service vendors. This role also supports contract management and regulatory compliance for services and locations under this scope.
Responsibilities Project & Maintenance Supervision:
Daily oversight of leased facilities operations Track, prioritize, and perform operational duties in collaboration with Ops Manager and Coordinators. Includes but not limited to: fixtures and equipment - installation, power and data changes, lighting, painting - repair, flooring - repair, HVAC, plumbing, general engineering & building system controls, janitorial, roofing, exterior maintenance, waste management, landscaping, pest control Lead triaging and delegation of leased facilities operations requests and projects, including oversight of the ticketing and work order management system Vendor Oversight:
Provide quality control and work validation Assist with contract management, including writing or editing contract drafts and developing KPIs Regulatory Compliance
Support Ops Manager with regulatory compliance (research and clinical), including on-site audits, validation of SOP adherence, etc. General Responsibilities
Serve as first level of escalation for staff, vendors, and colleagues to resolve issues Participate and Lead CPI endeavors and workflow improvements Support Coordinators and Ops Manager by regularly monitoring team bandwidth and performing O&M and Administrative roles to level workloads, including but not limited to onboarding, supervising, and time approvals for staff Carry out special assignments or projects, requiring departmental knowledge and expertise, as assigned Qualifications Required:
High School Degree or equivalent 2 years of experience in facilities management
Critical thinking skills Ability to take initiative and use sound judgment in carrying out responsibilities Ability to work in a fast paced, complex healthcare environment Customer service skills Ability to prioritize concurrent responsibilities and demands Basic knowledge of medical and research terminology Strong organizational and time management skills Demonstrates initiative as evidenced by advancing technical skills, sharing knowledge with others and taking on more responsibility Advanced ability in the use of the Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) Ability to work independently and as part of a team as the situation requires Ability to facilitate and present in meetings Ability to navigate team and organizational dynamics Ability to prepare, monitor, and interpret budgets including analysis of variances Preferred:
Associate or Bachelor's Degree Building Operator Certification (BOC) Experience working in a healthcare setting preferred
Experience in supervising and managing staff and inventories preferred
Able to read and interpret floor plans and architectural plan sets. Knowledge of 'CPI' (Continuous Process Improvement) or 'Lean' methodology. The annual base salary range for this position is from $76,606.40 to $114,878.40 and pay offered will be based on experience and qualifications.
