TES Staffing is enthusiastically searching for a dedicated Facilities and Estate Manager for a Premier Client located in Canandaigua, and with several residental locations across upstate New York. This is an intimate role that demands experience, awareness of personal boundaries and professionalism.
This role is also responsible for overseeing the maintenance and operation of multiple residential properties. In this role, the Manager will coordinate repairs and renovations, ensuring compliance with safety regulations and maintaining positive relationships with third party vendors and contractors. The Facilities Manager must possess strong organizational skills as well as expertise in property management and maintenance practices. Details: Hours- Full Time, at least 40 hours/weekly .  Pay: Depending on experience, starting at $85k Must have 5-7 years of experience in project or facilities management or a like position. Must have reliable transportation, ability to pass a background check and sign a non-disclosure agreement Prefer an advanced degree, willing to overlook with excellent experience Duties and Responsibilities:
• Collaborate with the New York Estate Manager on a daily basis to ensure all homes and properties are well-serviced, maintained, and ready for family occupancy.
• Create and maintain close working relationships with third-party vendors and contractors while overseeing and supervising the scheduling, daily workflow, and assignments of these vendors and construction contractors.
• Understand and manage project budgets and negotiate with outside vendors for supplies, repairs, and other needs. Working with the Estate Manager and family Executive Assistant, follow the approval process and best practice ethics when conducting business on behalf of the family.
• Ensure that all family homes, properties, and assets are well-maintained and functioning by conducting routine maintenance and making repairs as needed. Proactively recommend and participate in continuous improvements and quality activities to ensure family homes, properties and assets are operating safely and efficiently.
• Oversee all New York renovations, refurbishments and building projects, ensuring that timelines and budgets are followed, and that deadlines are met.
• Create, implement, organize, and lead a preventative maintenance program that ensures all family assets are maintained in a manner that minimizes downtime.
• Perform direct, hands-on maintenance and repair of various facilities and equipment.
• Maintain the upkeep of outdoor areas, including but not limited to, docks, boathouse, yards, and pool areas.
• Oversee the good working order, maintenance, and upkeep of all landscaping, outdoor features, and installed systems. i.e., Invisible Fence, irrigation, illumination, sound, and other installations.
• Maintain organized files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment.
• Tend to the maintenance of and storage of the family boats and vehicles. To include service, cleaning, inspection, and use preparation.
• Maintain the inventory, storage, and distribution of equipment.
• Provide recommendations for purchases of new equipment, when necessary.
• Maintain a constant awareness of visitors to the properties by maintaining a logged record of key disbursement and visitor traffic.
• Champion the integrity of the family home and always model good character.
• Collaborating with the Estate Manager, manage the family warehouse located in Farmington, NY and all assets located in the warehouse. Maintain a comprehensive inventory of all assets. Ensure the warehouse and warehouse property are county code compliant, safe, and secure.
• Effectively communicate and maintain a respectful, professional relationship with all family members, guests, and vendors.
• With approval from the Estate Manager make purchases on behalf of the family with proper record-keeping and ethical practices.
• Maintain detailed records of purchase and maintenance of household appliances and warranties.
• Procure and maintain household supplies, ensuring adequate levels of supplies for multiple properties. This includes inventories of tools, materials, and other commonly used goods needed for everyday practicality in a household setting.
• Perform other related duties as assigned. Collaborate often with Estate Manager for projects, events, and other happenings that may be outside of the scope of Facilities Manager. I.e., "family week," catering, meal preparation, service staff, housekeeper, et al, & ad hoc services as needed by the principal. Requirements:
• 5-7 years of experience in project or facilities management or a like position.
• Basic understanding of or ability to quickly learn the equipment and facilities to be maintained.
• Ability to learn and understand the specific "likes", needs, wishes, and expectations of the family and guests.
• Friendly and professional with the ability to recognize the personal boundaries of working in someone's living space and respecting their privacy.
• Excellent organizational skills with a strong attention to detail. Ability to review and organize basic records, files, receipts, and warranties.
• Ability to understand written directions in manuals and on manufacturer websites.
• Must be a pro-active self-starter, reliable, responsible, trustworthy, committed, and dependable with an overall teamwork mentality.
• Strong, professional communication skills.
• Ability to maintain strict confidentiality and must sign an NDA and pass a background check as a condition of employment.
• Flexibility in schedule with the ability to work overtime and weekends as necessary.
• Valid, unrestricted driver's license and a safe driving record.
• Reliable transportation with the expectation to move between multiple properties on a daily basis.
• Stamina to handle the physical demands of the tasks concurrently, repeatedly, and routinely.
• Proficient with Microsoft Office Suite or related software as required to complete and maintain records.
