Job Summary: Reporting to the vice President for Facilities Management and Chief Facilities Officer, this position executes interface and representation of Facilities Management to a broad range of senior executives and staff Campus-wide as well as internal and external clients and customers; Provides high-level professional administrative support for the Office of the Vice President for Facilities Management and Chief Facilities Officer to ensure efficient accomplishment of key tasks and University initiatives; Prioritizes the most sensitive matters and emails, filters client visits, phone calls, and prepares communications on the behalf of this Office; Offers polite, professional customer service while screening all visitors to determine the purpose of their visit and the level of support needed before directing them to the appropriate department or resource(s); Organizes communications to enable easy access to the most important information and avoid the sorting through of low-priority items;Closely manages and schedules the daily calendar, including scheduling meetings, confirming appointments, sending reminders, and preparing itineraries; Coordinates and arranges complex travel/transportation and manages travel expenses; Gathers documents in advance preparation for meetings; Protects and ensures sensitive and confidential information received and generated at all times; Utilizes extensive knowledge of University operations, policies, and procedures as well as department and/or unit functions in a diverse array to meet leadership requirements; Demonstrates ability to work efficiently and effectively in a fast-paced diverse environment; and Consistently demonstrates the commitment of Facilities Management to be Customer Centered; Service Focused; Quality Driven; Resource Wise; and Growth Oriented.
Skills /Knowledge/Abilities: MS Windows/Office; SAP , KRONOS , DIMENSIONS
Driver's License — Preferred
High level of professional administrative experience at the executive level; Demonstrated proficiency in advanced software applications; Consistently maintains a high degree of confidentiality with sensitive and secure information; Ability to interface and relationship build at all levels; Commitment to customer centered leadership in a fast-paced University environment.
Certificate in Administrative Professional ( PACE ) — Desirable Position Time Status: Full-Time
Required Education: BA
Required Related Experience: 4 yrs
Required License/Registration/Certification : None
Preferred Education/Experience: Bachelor's Degree + 5 Years
