Position Title: Executive Assistant to the CEO
Location: East Harris County, Texas

East Harris County Empowerment Council is seeking a proactive and highly organized Executive Assistant to provide comprehensive support to the CEO. The successful candidate will play a pivotal role in facilitating the CEO's effectiveness and ensuring the smooth operation of the executive office. This position offers an exciting opportunity to contribute to the mission-driven work of our organization and make a meaningful impact on the community.
Responsibilities: Executive Support: Act as the primary point of contact for internal and external stakeholders, including staff, board members, partners, and community members. Manage the CEO's schedule, including calendar coordination, appointment scheduling, and travel arrangements. Prepare and prioritize correspondence, emails, and other communications on behalf of the CEO. Conduct research and compile information for presentations, reports, and meetings as requested. Anticipate the needs of the CEO and proactively identify opportunities to streamline processes and enhance efficiency. Administrative Assistance: Provide administrative support to the CEO, including drafting documents, preparing expense reports, and maintaining files and records. Coordinate and prepare materials for board meetings, executive team meetings, and other organizational gatherings. Assist in organizing special events, conferences, and community outreach initiatives as needed. Handle confidential and sensitive information with discretion and professionalism. Board of Directors Support: Serve as a liaison between the CEO and the Board of Directors, facilitating communication, scheduling meetings, and coordinating logistics. Prepare meeting agendas, distribute materials, and record minutes for board meetings. Assist in recruiting and onboarding new board members, including coordinating orientation sessions and providing relevant information. Support board committees as needed, including scheduling meetings, assisting with documentation and following up on action items. Relationship Management: Cultivate positive relationships with internal and external stakeholders to promote effective communication and collaboration. Collaborate with other staff members to ensure alignment and coordination of efforts across departments. Special Projects: Support the CEO in executing special projects and initiatives to advance the organization's strategic objectives. Conduct research, gather data, and prepare reports supporting decision-making and problem-solving. Assist in coordinating cross-functional teams and managing project timelines and deliverables. Qualifications: Bachelor's degree in business administration, public administration, or a related field preferred. A demonstrated commitment to serving as an executive assistant, special projects coordinator, or similar role as seen through work experience, volunteer work, and/or education . Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously. Strong written and verbal communication skills, with the ability to interact effectively with diverse stakeholders. Proficiency in Microsoft Office and Google Suite (Word, Excel, PowerPoint, Gmail) and other relevant software applications. Ability to exercise discretion and maintain confidentiality when handling sensitive information. Demonstrated ability to work independently, take initiative, and problem-solve creatively. Strong preference is given to candidates who reside in or who may be familiar with the East Harris County region. Physical Conditions: The staff person must be able to sit, stand and lift at various time throughout the day. Guided by our core values, EHCEC is a multi-faceted, collaborative work environment.
