We are seeking a proactive and dedicated Executive Assistant to play a crucial role in the smooth operation of our campus. As a key member of the Campus Operations team, this role provides vital support by handling complex matters, ensuring the seamless daily functioning of the campus. You will offer direct administrative support to the Vice President for Campus Operations, including managing logistics, coordinating projects, and being a friendly point of contact for our community.
Key Responsibilities:
Administrative Excellence (45%):
Act as the welcoming face and first point of contact for the office, efficiently managing inquiries via phone or email with a friendly and timely approach.
Oversee the Vice President's calendars and email, ensuring optimal organization and response to campus operation inquiries.
Coordinate all aspects of meeting logistics, from preparation of materials to room setups and follow-up documentation.
Manage office supplies, mail distribution, and maintenance requests to support a well-organized work environment.
Handle financial oversight for the department, including budget tracking, expenditure monitoring, and report preparation.
Organize travel and meeting schedules, ensuring all arrangements are made to support effective engagements.
Collaborative Partnership (25%):
Build and maintain relationships within and outside the department to enhance operational efficiency and effectiveness.
Lead and support the development and implementation of policies and procedures that improve departmental performance.
Engage in project-specific research and provide recommendations to support decision-making.
Research and Reporting (20%):
Conduct thorough research and compile information for the creation of detailed monthly reports and presentations highlighting key performance metrics.
Assist in preparing comprehensive reports and presentations for a variety of stakeholders, including senior management and external groups.
Qualifications:
Education:
Required: High School Diploma or equivalent.
Preferred: Bachelor's Degree.
Experience:
Required: At least three years of administrative support experience, with a focus on problem-solving and collaboration.
Preferred: Five years of experience in a support role with direct involvement in executive tasks such as budgeting and reporting. Experience in higher education or large corporate settings is a plus.
Skills:
Proficiency in Microsoft Office Suite (Word, PowerPoint, Teams, Excel) and familiarity with data management systems like Workday and Outlook.
Compensation:
Salary Range: $25.12 - $29.56 per hour, commensurate with experience.
