We are currently recruiting for an Executive Assistant to work at our main office in Lorain. Summary: The Executive Assistant provides high-level administrative support to the Board of Directors and Senior Management Team. Assists in the coordination, planning and completion of essential functions of the organization to ensure operational goals are consistently achieved. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Essential Functions: Prepare and edit agency correspondence, presentations, reports and other documents. Prepare agenda, record minutes and distribute materials for Board meetings, Leadership meetings and other meetings as assigned. Prepare presentation materials and complete room set up for meetings and events. Assist in the completion of agency-wide projects, funding requests, grant proposals and agency contracts. Maintain a central filing system for corporate documents. Maintain agency calendars and administrator on call schedules.
In coordination with the Human Resources Department, oversees the agency's Internship and Apprentice placement program, including: processing incoming requests for placement, coordinating interviews and placement, monitoring completion of student placement requirements, maintaining program and student files, and liaising with college and university program coordinators.
Provide assistance to the Market Department, including maintaining agency's donor and event databases, assisting with preparation and coordination of various agency events and fundraising activities.
Develop and produce regular interdepartmental communications, including agency newsletter and flyers for various events and activities. Proofread and edit draft reports or correspondence for errors in grammar or structure. Arrange and coordinate employee meetings and events. Assist with various research and/or special projects. Perform other duties as assigned.
General Requirements: Three to five years of administrative support experience reporting directly to upper management required, preferably in nonprofit and/or healthcare setting. Experience supporting a Board of Directors, recording meeting minutes, and maintaining confidential information required. Must possess excellent interpersonal, written and verbal communication skills with high attention to detail and accuracy, adaptability and ability to prioritize multiple tasks. Advanced proofreading and grammatical skills required. Proficiency with Microsoft Office products (Word, Excel, PowerPoint, Publisher) required. Must have ability to effectively work with Agency employees, outside contacts, and a diverse client population.
Educational and Certification Requirements: Associates Degree required. Equivalent experience in related field may be considered in lieu of formal education.
Amount of Travel: Minimal, mostly confined to local travel. The LCADA Way provides reimbursement for all business-related travel.
Hours: Full-Time, 40 hours per week.
Salary Range: Salary commensurate with education, experience and certification.
