Job Title: Executive Assistant Job Description:
The Executive Assistant (EA) reports directly to the CEO with a dotted line to the Director of Human Resources and must effectively plan, prioritize, and execute tasks promptly. Exhibit skills in building and maintaining solid relationships with internal and external stakeholders. The Executive Assistant must be approachable, respectful, and comfortable with technology, virtual meeting platforms, and scheduling systems. Demonstrates ownership, accountability, and confidence by taking the initiative within their scope of work. Responsibilities: Maintain discretion and confidentiality as a primary job function. Manage and maintain executives' schedules, as well as travel arrangements (domestic and international) upon request. Provide administrative support to multiple departments (HR, QA, Maintenance, Purchasing, etc.) as well as Directors and Department Managers upon request and as needed. Prepare invoices, reports, memos, letters, and other documents, using Microsoft suite programs and other software. Answer incoming calls, transfer, and take messages as appropriate. Prepare responses to correspondence containing routine inquiries. Greet and permit access to all visitors and direct them to the appropriate individuals. Prepare agendas and coordinate catering for luncheons, committees, the Board, and other meetings upon request. Conduct research, compile data, prepare documentation and surveys upon request. Perform general office duties including ordering office supplies. File and retrieve corporate documents, records, and reports as needed. Attend meetings to record minutes as requested. Assist the Human Resources Department with bilingual employee inquiries. Other duties as assigned. Requirements: Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 20 pounds, if needed. Qualifications: Bachelor's degree preferred, not required. High-level of professionalism and business acumen. Five to ten years' experience in supporting senior executives OR high functioning departments. Exceptional writing, editing, and proofreading skills. High-level of discretion and confidentiality.
