Job Title: Executive Assistant
Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our C-Suite executives. The ideal candidate will be a skilled multitasker, able to manage complex schedules, prioritize tasks, and maintain confidentiality with sensitive information. This role requires exceptional communication and interpersonal skills, as well as the ability to work independently and collaboratively with senior leadership.
Responsibilities:
Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements. Handle creation and process of selection on all corporate Request for Proposals Conduct research and compile data to support decision-making processes: Such as Marketing, IT, or any large purchases. A minimum of 3 bids will be needed for this process Creation of listed items and manage training material updates as necessary. Ensure training for basic sales functions such as: WBS creation, Proposal's for clients, Contracts, price menu generator, SOW/ BOW material, Operation Manuals overview and redlined material. Coordinate and prioritize incoming requests and correspondence, ensuring timely responses. Input and update sales leads and progress with sales in HubSpot a Client Management Software. QuickBooks input navigation and knowledge for: Build Training on entering new locations in QuickBooks: Only doing it immediately after a payroll import Communicating the new location information for Paychex integration Build training on entering new price and service coding in QuickBooks Build training on updating appropriate sheets to reflect new contracts Leading WBS Meeting and Implementation Proven Process Prepare and edit correspondence, presentations, reports, and other documents for executive review. Organize and maintain files, records, and confidential information. Coordinate meetings and events, including logistics, agendas, and follow-up actions. Act as a liaison between executives, employees, clients, and external partners. Assist with special projects and initiatives as needed. Handle sensitive and confidential information with discretion and professionalism. Provide administrative support, such as expense tracking, budget management, and office supply procurement. Travel to sites to assist Executive team when needed Qualifications:
Proven experience as an executive assistant or similar role, supporting senior executives. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Strong communication skills, both written and verbal, with a professional and courteous demeanor. High level of discretion and confidentiality when handling sensitive information. Proficiency in Microsoft Office Suite and other relevant software applications. Ability to work independently and collaboratively in a fast-paced environment. Travel to locations or events Bachelor's degree or equivalent experience preferred. Benefits:
