OPEN POSITION Job Title: Executive Assistant The Executive Assistant supports the CEO and COO across various administrative tasks. This position requires a team member who works well independently and in collaboration with internal and external partners and can maintain ongoing balance among multiple priorities. The Executive Assistant demonstrates the ability to exercise good judgement in various situations, work well with others from all backgrounds and bring strong communication and organization skills to all efforts.

Essential Functions Provide confidential administrative support to the CEO and COO with secondary support to the Leadership Team. Schedule meetings and events; proactively manage requests; develop meeting agendas; and provide meeting preparation, where needed. Responsible for creating and maintaining data and final reports; research, preparation of business travel and seminar arrangements; and expense reconciliation. Provide primary support for all Board and Executive Committee communication, including partnering with the Leadership Team on reporting, compiling comprehensive board packets and managing meeting minutes. Build and maintain procedures to increase efficient and effective communication and internal processes. Assist with organizing with peers, members of the Leadership Team and external partners. Organize information and appropriately and accurately communicate with others to facilitate the CEO and the COO's objectives. General administrative duties as assigned, including support projects. Qualifications & Skills At least 5 years' experience supporting C-suite Executive(s), with demonstrated accuracy, commitment to service, and strong communication. Bachelor's Degree Excellent interpersonal, written and oral communication skills. Excellent organizational, administrative and time management skills. Proficient with Microsoft Office Suite, customer relationship management or database tools, and ability to manage emerging technology. Requires a proactive individual, welcoming of change and can thrive in a dynamic environment. Ability to anticipate the needs and preferences of management and open to feedback. A commitment to the mission and values of the Foundation. Preferred: Knowledge of local nonprofit and business sector. Working Conditions & Physical Demands: Extended periods of sitting at a desk and working on a computer are required. Must be able to operate a computer keyboard and handle various office equipment, such as phones, printers, and photocopiers. Good vision and hearing are essential for reading documents, using computer screens and communicating effectively. Minimal lifting of objects up to 20 lbs. The Executive Assistant must work under pressure, manage multiple tasks simultaneously, and meet tight deadlines. The ability to handle stressful situations calmly and efficiently is important.
