Here, you'll be supported in progressing – whatever your ambitions.About the roleBoston Scientific is seeking an experienced Executive Assistant to provide support to the Chief Financial Officer and SVP, Investor Relations.This role provides high level administrative and project management support, including meeting and calendar management, creation of executive presentations and communications in addition to other administrative projects and tasks.  The work will be highly confidential in nature and will cover a diverse scope of activities. A successful candidate will be self-motivated, have excellent interpersonal skills and ability to foster professional relationships across the organization.Your responsibilities include: Calendar & meeting management - Proactively identify and resolve scheduling conflicts, prioritize meetings to ensure efficient use and preferred allocation of executive's time.Perform various financial management tasks, such as processing electronic expense reports, preparing invoices, and purchase orders that include budget tracking in accordance with vendor contract expectations.Coordinate complex domestic and international travel arrangements, including itineraries and agendas, directions, transportation, and lodging. Prepare and process expense reports.Plan and organize regular staff meetings, including agenda and materials preparation, tracking attendance, and organizing logistics.Manage a variety of meetings including invites, agenda, slide organization, and meeting minutes/action items.Maintain organizational charts for senior executives and their teams.Anticipate and coordinate projects/assignments, organize own schedules, and that of others, to meet deadlines.Translate complex and/or technical, in-depth thoughts into documents (letters/memos/presentations, etc.) by researching subject; anticipate needs for communications; make suggestions for improvements in existing.Acts as a conduit of communication to and from Sr. Leadership.Support onboarding for new senior level staffContacts are frequent with individuals representing outside organizations, including investors in Boston Scientific, and/or individuals of significant importance within the company involving planning and preparation of communications, requiring tact, persuasion, and negotiation skills.May be responsible for various components of initiatives to include:Developing and adhering to timetablesCoordinating large meetings/eventsPreparing status reports, records, and documentsSecuring vendor estimates and purchase orders, processing invoices, ensuring vendor qualityOverseeing the execution of deliverablesWhat we're looking for:Required QualificationsHigh School Diploma or GED, Bachelor's Degree preferred 5+ years' experience providing executive support in corporate environment, preferably in highly matrixed, global organizationExceptional interpersonal skills, both written and verbalAbility to maintain high degree of confidentiality and discretionAbility to take initiative and drive projects to completionDemonstrate high levels of professionalism and customer orientation Ability to work effectively and partner with peersExceptional administrative and organizational skillsExcellent problem-solving skillsDemonstrated ability to effectively utilize MS Office programs, including Teams and SharePointAbility to work independently, multi-task, and prioritize daily workloadRequisition ID:582653As a leader in medical science for more than 40 years, we are committed to solving the challenges that matter most – united by a deep caring for human life.
