Our client, a global investment firm based in Midtown East, is looking for an Executive Assistant / Admin Manager, to support to the President and two other top executives, managing multiple work streams at once. The Executive Assistant will also provide guidance, instruction, direction and leadership to the administrative team (approximately 5-7). The ideal candidate will be experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. RESPONSIBILITIES: Manage Administrative Staff: delegate administrative duties, follow up to ensure deadlines are; train administrative staff, answer team member questions, help with team member issues, and oversee quality control Handle active executive calendar management, including coordinate meetings, appropriately track in calendars ensuring no conflicts arise, booking conference rooms as needed, coordinating visitor registration, etc. Coordinate travel arrangements for 3 executives; prepare and distribute schedules/agendas for travel Prepare, reconcile, and track expense reports Liaise between senior management and visitors to ensure deliverables are met Assist in the production and assembly of company presentations and client materials when needed Create and modify documents and reports using Microsoft Word, PowerPoint and Excel Enter meetings into SalesForce Process and follow-up on Virtual Requests Assists in ad-hoc reports special projects as needed REQUIREMENTS: At least 4 years administrative experience in a financial services organization or equivalent required Client-facing demeanor as this role will at times require interacting with clients, GPs and external visitors Acute attention to accuracy and detail Effective communication skills and strong problem-solving skills Energetic, motivated, and team-oriented Strong interest in learning new or improving existing skills, and suggesting process improvements Ability to function well in a high-expectation/low-oversight environment; an independent thinker and self-starter Ability to prioritize activities while working on multiple projects and achieve target deadlines Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint Ability to organize international travel and processing of related Visa/Consulate logistics Willingness to work a flexible schedule High level of confidentiality SALARY:
$125-$175K (DOE) + excellent benefits, bonus opportunity, 401K + perks HOURS:
8:15/8:30am-5:30/5:45pm (flexibility if needed). This role is in the office 5x a week for the first 60 days, and will flex to 4x a week after.
