CINQCARE Executive Administrative Assistant Position Description Overview The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. with accountability for providing strategy, judgment, organization, and evidenced-based analysis to influence decisions, and directly to meet CINQCARE requirements. Job Responsibilities The Administrative Assistant will have the following responsibilities:
Proactively address administrative needs, in particular, workday transactions as the assigned executive's delegate to submit expense reports, requisitions, and other administrative actions, such as USPS/FedEx/UPS shipping needs and maintaining assigned executive's up-to-date contact lists/addresses. Manage all the assigned executives' travel arrangements and coordinate complex multi-day meeting arrangements and logistics, including booking airfare, preparing daily agendas, securing lodging, ground transportation, and meals, and expense reports. Coordinate across Executive Assistant team, approach to the management of executives' calendars that are coordinated and scheduled in an intentional way, including often managing confidential or highly urgent meetings; liaise with senior executive assistant and event teams to be strategic about travel and meeting calendars while managing frequent change requests. Proactively manage an extremely active calendar based on priorities and building relationships. Maximize the effective and efficient use of executive's time by monitoring, maintaining, and managing executive's travel calendars based on company's priorities. Schedule appointments including conference calls, video conferences and in-person meetings for assigned executives, often with multiple internal parties as well as outside groups and officials. Make sure meeting materials are adequately prepared and organized, and handle all logistical arrangements for meetings, including security clearances, video conferencing, and catering if needed. Engage on a daily basis with diverse individuals across a wide range of situations, employing tact, discretion, diplomacy, sensitivity, personal creativity, and accountability. Support the preparation of Word, Excel, PowerPoint correspondence, internal announcements, presentations, agendas or meeting materials, reports, special projects, and other documents in support of business goals and priorities. Ensure information is delivered to leaders, senior management, and key stakeholders accurately and timely, respond to requests by gathering and providing information. Answering and transferring phone calls, screening when necessary. Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed. • Proficiently manage high-volume coordination of travel, meetings, and appointments for multiple managers, staff, and candidates. Manage assigned executive's use of technology and collaboration tools from application licenses, such as Zoom, to distribution lists, Teams channels, and beyond. Perform additional administrative duties and special projects, as assigned by the Senior Executive Assistant and the assigned executive. General Duties The Administrative Assistant will have the following duties:
Leadership: The Administrative Assistant will lead in defining and executing strategies and solutions to create business value, including working with their team to design, develop, and execute those strategies and solutions to deliver desired outcomes. Strategy: The Administrative Assistant will establish the business strategy and roadmap: (1) improve outcomes for CINQCARE Family Members; (2) enhance the efficacy of other CINQCARE. business divisions; and (3) develop and deliver external market opportunities for CINQCARE products and services. In establishing the business strategy, the Administrative Assistant will define and innovate sustainable revenue models to drive profitability of the Company. Collaboration: The Administrative Assistant will ensure that their team's capabilities form a cohesive offering, including by working closely with other business divisions to learn their needs, internalize their knowledge, and define solutions to achieve the business objectives of CINQCARE. Knowledge: The Administrative Assistant will provide subject matter expertise in Marketing, including determining and recommended approaches for innovating new ways to attract and convert prospects., solution deployment and performance evaluation. Culture: The Administrative Assistant is accountable for creating a productive, collaborative, safe and inclusive work environment for the Marketing team and as part of the larger Company. Qualifications The Administrative Assistant should have the following qualifications:
Education. Associate's degree required, Bachelor's degree in related field preferred. Experience: Three to five years of experience in an administrative role. Basic understanding of clerical procedures and systems such as recordkeeping and filing. Ability to work independently. Proficiency in all Microsoft Office Suite or related software.
