Scope of Position :
The Events Lead will assist the Executive Chef/Food Services Director with supervision of staff, including scheduling and time keeping, contract "agreements" for each event, oversee event data base, create invoices, collect deposits and final billings, clerical duties, such as data entry, filing, answering phones, typing, and assisting others as needed.
Knowledge, Skills and Abilities Required :
Proficient with current Microsoft software computer programs including Word, Excel, e-mail, internet, and standard office equipment and systems. Working knowledge of Access, Publisher, PowerPoint; and the ability to use new software programs with basic training. Effective verbal and written communications. Must be detailed oriented. Ability and willingness to keep information confidential. Ability to multitask. Ability to work in a fast-paced environment and maintain poise under pressure. Ability to take projects from beginning through completion. Well-groomed and follow required office dress code. Familiarity with Salvation Army programs. Ability to work as a team player. Strong communication skills, both written and oral, organizational and time management skills. Ability to maintain a positive attitude and effective working relations with others. Calm, professional demeanor and professional appearance. Ability to coordinate events and parties while working with other internal department. Equipment Used: Telephone, computer, fax/copy machines and 10-key calculator. Essential Duties and Responsibilities :
Assist the Executive Chef/Food Services Director to recruit, hire, schedule and monitor all staff. Assist in preparing HR paperwork for hiring and complete office related duties. Schedule and coordinate all staff shift. Oversee employee's time keeping for accuracy of hours. Contract "Agreement" management, from the initial inquiry to the proposal to the final contract "agreement" for each event, through follow-up for future events. Oversee event database; create invoices; collect deposits and final billings; promote event/rental sales and inquiries. General filing and record keeping. Assist with data entry, updating databases, etc. Assist other members of staff as requested/assigned. Typing of letters, memos, and documents. Answer phones, directing calls and taking messages. Ensures all proper paperwork is reviewed and understood prior to each party hosted. Seek out and establish relationships with "preferred vendors" in the Salem, OR. Area. Assist front desk with inquiries about events and catering and overall customer service when needed. Ensuring that all guests are called back in a timely and professional manner, booking their event with proper documentation and communication. Working directly with the Congregational Life (Church) and other internal departments in planning and scheduling all church activities that involve space at the Salvation Army Kroc Center, food, beverage, or other special requests. Assist with special events. Regular and punctual attendance is an essential job requirement. Assume a schedule of flexible working hours, including evening, weekends, and holidays. Physical Requirements: While performing the duties of this job, the employee is regularly required to sit, sometimes for long periods of time; to talk and hear; reach with hands and arms. Specific vision abilities required by this job include close vision and distance vision.
May walk or stand on varied surfaces. Stooping; kneeling, bending, stretching, squatting, twisting body, pushing, pulling, a sense of touch, reach, grasp with hands and fingers, standing, walking, manual dexterity, hand-eye coordination, driving a vehicle, pushing, pulling, lifting, and carrying up to 25 pounds unassisted. Climb up & down ladders.
Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Working Conditions: This position may have frequent phone and in person contact with people from diverse backgrounds who may be angry, hostile, confused, or frustrated.
Work with minimum supervision and work involves a high degree of independence. May be required to make independent decisions that may involve unique or unusual situations and/or complex issues and dealing with demanding requests.
Various scheduled work in the mornings, afternoons, evenings, weekends, and holidays.
Will be exposed to a range of temperatures inside and outside of the building, heat, cold, rain, snow, wind, humidity.
May walk or stand on varied surfaces.

Education and Work Experience :
Education: High school diploma or GED. Work/Professional Experience: Two years Office/Program experience. One year experience in the Food Service Industry. License and Certifications: Current Food Handlers/SERV Safe card Supervisor : Executive Chef/Food Services Director – Greggery Peterson Experience Required Two years Office/Program experience. One year experience in the Food Service Industry.
