Position Summary: The Events and Sponsorship Coordinator plays a pivotal role in coordinating and managing various events hosted by the association including those that support the Texas REALTORS® Political Action Committee (TREPAC) and the Society of Commercial REALTORS® (SCR). Their responsibilities encompass the entire life cycle of event management from initial planning and organization to execution including venue selection and management, contract negotiations, on-site leadership, and post-event reconciliation. Additionally, they serve as the point of contact for sponsors. This role requires meticulous attention to detail, strong organizational skills, and the ability to effectively collaborate with various stakeholders to ensure the success of each event.
Essential Functions: Coordinate all aspects of association events; includes venue, catering, people resources, budget and overall event strategy in conjunction with committee and staff liaison. Work with Board of Directors, committee leaders and staff to develop overall plan and calendar for GFWAR, TREPAC and SCR events. Assist with the development of budgets and contract negotiations for all events; evaluate budget vs. actual at the conclusion of each event. Serve as primary contact for on-site event needs including setup, registration, catering and audiovisual. Manage the registration process for all events; this includes setting up in GFWAR system and answering member inquiries related to registration. Create event signage, sponsor recognition materials, process payments and manage on-site photography. Review post-event evaluations and provide input on opportunities for improvement. Collaborate with the Director of Events and Communications on the development and implementation of creative and effective event marketing strategies. This may include, but is not limited to, the creation of event graphics, social media management, email blasts and sponsorship forms. Coordinate Affiliate member event sponsorships, ensuring all benefits for sponsorship are fulfilled, and serving as point of contact for sponsors. Assist with timely reporting for grant fulfillment for TREPAC and qualifying programs. Assist with TREPAC auctions and other fundraising activities and events. Work with Director of Advocacy and Community Affairs on contribution reports and data entry for TREPAC investors and events. Serve as key staff person on committees, work groups and task forces, as assigned. Some after-hours work required. Qualifications: Bachelor's degree or equivalent preferred. Experience with design and database software a plus. Experience planning/coordinating special events. Committed to providing exceptional member service, with excellent verbal and written communications skills, including social media marketing. Self-motivated, highly organized, and handles multiple projects simultaneously, with excellent attention to detail. Capacity to manage and maintain composure under pressure. Collaborative by nature and excited to work closely with team members. Ability to naturally project a positive, energetic, and professional image. Flexible to adapt to the changing needs of the association. Ability to work in a fast-paced environment. Working knowledge of Microsoft Office products. Track record of problem-solving. Ability to stay on task, meet deadlines, and tolerate interruptions. Positive attitude and ability to work well with various personalities. Effective multi-tasking skills.
