Email Marketing & Communications Coordinator (West Allis, WI)

POSITION SUMMARY
This position will work within the Marketing and Communications team, working closely with the Director of Public Relations and Marketing Manager to coordinate and execute marketing and communications in regard to email and SMS campaigns. The Email Marketing and Communications Coordinator will increase and support ticket sales via email marketing and SMS campaigns. Additionally, the ideal candidate will possess strong organizational skills, great attention to detail, and will be able to work on multiple projects efficiently in a fast-paced work environment.

EMPLOYMENT TYPE
This position is an unclassified, Dual-Limited Term Employment (LTE) position within the State of Wisconsin employment system, working an average of 40 hours per week throughout the calendar year. Annual hours worked will not exceed 2,078.

COMPENSATION & BENEFITS
The starting wage for this role will be $19 - $21 per hour, based on qualifications. A comprehensive fringe benefits package, including health and dental insurance, life insurance, and disability insurance is available after a minimum employment period is met. Annual hours worked will not exceed 2,078.

Paid time off for vacation, holidays, etc. is

not

included as part of the benefits package.

ESSENTIAL FUNCTIONS
Email Marketing and SMS Coordination

Assist in the creation of the marketing and communications content calendar for email marketing and SMS initiatives complimenting social media, digital marketing, and advertising
Adhere to marketing and communications content calendar
Work with Marketing Manager to formulate formal requests for email and SMS specific graphics from the Creative Services team
Develop, write, and edit email and SMS copy
Track analytics like open rates, unsubscribe rates, and engagement with email and SMS campaigns
Create and manage email and SMS templates
Initiate and create automations in email and SMS programs
Create and manage social media, email, and SMS contesting through Hive.co
Share relevant email and SMS campaigns with relevant internal departments providing ample time for feedback and edits
Collect and analyze data for each email and SMS campaign providing key findings to the team
Create and maintain user guide for email and SMS campaigns
Maintain various established brand voices based on origin of content
Work closely with digital marketing agency of record to ensure best use of tools and gather impactful insights
Partnering with digital marketing agency of record to ensure we are compliant with all regulations regarding email and SMS campaigns
Provide detailed email and SMS campaign recaps to various departments for use in post-event presentation
Assist with sponsorship proposal management and ensure fulfilment of contractual obligations relating to email and SMS inclusion

Communications Coordination

Track media exposure and interviews using Critical Mention and other agency-provided tracking and monitoring tools providing real-time feedback and analytics
Create bi-weekly marketing and communications reports using a variety of agency provided tracking and monitoring tools to be shared with key stakeholders
With Director of Public Relations, create and maintain interview tracking system
Maintain media contact database staying up-to-date on media personnel changes in the our advertising markets
Use creative thinking to generate new ideas and tactics for compelling and effective marketing campaigns
Provide information and input for frequently asked questions documents and reference guides provided to the year-round Guest Services team to ensure accuracy in answering questions
Assist team of spokespersons to ensure fulfilment of contractual obligations relating to media interviews
Provide detailed media coverage recaps to various departments for use in post-event presentation
Contribute to list of photography assets needed for year-round State Fair Park marketing efforts including Milwaukee Mile; take photos as needed with marketing and advertising needs in mind
Contribute to annual list of photography assets needed for State Fair marketing efforts; take photos as needed with marketing and advertising needs in mind
Stay well-versed on ever-changing marketing trends, especially in the event and tourism industries

QUALIFICATIONS

Minimum of one year of email marketing, communications, or digital marketing experience
Strong planning, communication, time management, organizational, and administrative skills
Associate or bachelor's degree in communications, marketing, or related field is preferred
Proficiency in all Microsoft Office Programs, including Word, Outlook, and Excel
Exceptional interpersonal communication skills
Strong analytical skills with the ability to summarize and effectively communicate results
Ability to withstand an ever-changing, fast-paced environment, remain calm under pressure and maintain a positive, can-do attitude
Event planning and execution experience is preferred
Prior experience working with Hive.co and WordPress programming is preferred
Organizational social media or email marketing experience and entry-level graphic design knowledge a plus
Ability to work extended hours, including nights and weekends, at times leading up to and during the Wisconsin State Fair, Harvest Fair, and other Wisconsin State Fair Park promoted events
Knowledge of the Fair and agriculture industry also a plus, though neither are required

SPECIAL NOTES
Candidate must be able to work all 11 days of the annual Wisconsin State Fair August 1 - 11, 2024. Prior to appointment to this position, the candidate will be subject to a comprehensive criminal background check.

Contingent on business needs and the seasonality of WSFP, up to 2 days of remote work per week is available after an initial training period. Remote work will be discussed during the interview stage. High speed internet access is needed to meet the requirements of remote work.
