Director of Volunteer Engagement and Special Events (100% FTE School Year, 50% FTE Summer) Cultivate, engage, grow, and optimize volunteer relationships within the DSHA community.Provide leadership for the execution of major fundraising events involving donors and trustees, as well as school-based events.Prepare, manage, and make strategic decisions for each event, including but not limited to, the DSHA Auction, Mother/Father Daughter events, and Auction Benefit Parties.Lead the planning and direction of an annual benefit auction (DSHA's largest fundraising event), including, but not limited to: Strategic planning for both event fundraising goals and logistics, budget management including revenue and expenditure projections. Coordinate, deploy, and lead a volunteer corps to manage event attendance and engagement, advertising and under-writing, acquisitions, and environment/décor. Serve as point person for vendors from initial planning through execution stage. Work with DSHA development team to assist with Stop-the-Auction appeal.Drive event goals and work alongside volunteers and other development staff to meet fundraising and other event benchmarks.Lead the planning, direction, coordination, and implementation of an annual calendar of special events at DSHA, working with the volunteer corps.Lead the development and implementation of the annual event plan that includes goals, objectives, and success measures. This plan will articulate and advance the DSHA strategic plan.Coordinate the planning, promotion, and organization of DSHA events, including budget management. Track and analyze societal trends related to special events. Arrange event notices, space, entertainment, tours, banquets, receptions, and other applicable special events activities. Prepare and provide post-activity evaluation data, as appropriate to the objectives of the position; prepare scheduled and special reports as required.Participate on the event team for reunions and other gatherings planned by the Alumnae Director and the Alumnae Board.Serve and assist the Parents Athletic Association in executing the Annual Golf Outing, including procuring event sponsorships and in-kind donations, developing a communications strategy, managing volunteers, and overseeing logistics of the event.Participate on the planning team for various events designed to increase financial and community support for the high school.Develop, distribute and analyze the annual parent volunteer survey.Identify, enlist, motivate and maintain volunteer leaders for events and communicate with other departments of the organization regarding volunteer identification. Responsible for volunteer cultivation, retention and recognition, ensuring that volunteers maintain a positive relationship with DSHA.Supervise and/or lead volunteers and/or students as it relates to events.Maintain up-to-date contact lists for vendors, including past involvement, costs, notes, etc. Provide on-site coordination which includes problem-solving, decision-making and interaction with local vendors.Take leadership role in acknowledging contributions in support of events.Perform a variety of administrative functions, including data management and correspondence.In conjunction with the Vice President of Marketing & Communications, participate in the planning of event marketing that will support registration and budget goals.Create and execute event marketing digital communications including the execution of clear digital eblasts, website updates and optimization, and social media blasts.Work with the Director of Graphic Design & Marketing Projects to create graphic-based communications that will support events; this includes but is not limited to print and digital invitations, event signage and décor, and event programs and menus.Act as liaison to event participants and prepare promotional materials and correspondence to participants.Maintain key parts of DSHA website including the PAA Golf Outing page, Benefit Auction page and other special event pages. Includes editing, calendar updates, photography, keeping information current, including event and payment modules.Perform other duties as assigned.Supervisory Responsibilities Responsible for supervision of volunteers and/or students related to special events.
QualificationsEducation and/or Experience Must have 5-7 years of relevant volunteer management and fundraising events coordination and management, with a proven track record of successful event planning that met or exceeded goals.A BA/BS degree from an accredited college or university.Experience managing a departmental or event budget is required.Experience with event promotion and marketing, including social media and digital marketing, is preferred.Experience with auction planning and execution is preferred.Knowledge, Skills and Abilities Effective oral, written and presentation skills.Must be highly organized and detail oriented while maintaining the highest regard for the big-picture mission and vision of DSHA.Experience developing and implementing an event fundraising strategy.Demonstrated success in supervising, managing and engaging volunteers. Demonstrated success in budget management and cost control procedures. Demonstrated success in managing multiple projects with shifting priorities and competing deadlines.Must be proficient in computer skills with experience using MS Office software (Word, Excel, PowerPoint, and Publisher); experience in using database software (The Raiser's Edge), auction software (GiveSmart), and Adobe software (Photoshop, InDesign), is preferred.A mission-driven individual with a belief in and commitment to DSHA's mission and values.An excellent listener and strategist; comfortable receiving input from many sources, and able to analyze and formulate disparate information into a sound, well-organized plan.Someone with the flexibility and creativity needed to find alternative ways to reach objectives when barriers arise; a skilled negotiator who does not drive him/herself or others into a corner.A team builder who is confident and capable, with strong skills in management and leadership; one who understands the subtleties of motivating and directing a diverse group of personalities with different work styles.A hard worker whose passion for our mission fosters a willingness to work hands-on in developing and executing a variety of development and advancement activities.Able to work with diverse personalities and situations.Must have valid driver's license and access to a reliable vehicle.Physical Demands While performing the duties of this job, the employee is frequently required to stand, talk or hear; and use hands to finger, handle, or touch objects or controls. The employee is frequently required to stand and walk. On occasion the incumbent may be required to stoop, bend or reach above the shoulders.
The employee must occasionally lift up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Work Environment The work takes place in primarily an office/school environment, however there is some travel to donor homes, public/private clubs, and golf courses/clubs, and limited exposure to outside elements.
