USD $78,800.00/Yr. - USD $175,000.00/Yr.
Position Summary
The Luskin School of Public Affairs offers a B.A. in Public Affairs and houses three minors (in Public Affairs, Urban and Regional Studies, and Gerontology). The Administrative Manager, under the direction of the Chair, is critical to the success of this relatively new degree program. The Administrative Manager independently manages and coordinates a wide range of academic and administrative functions for the new undergraduate program at Luskin. These functions include, but are not limited to, supporting the faculty committee and chair that oversee the major, coordinating the recruitment and admissions process, supervising the design and development of informational and marketing materials, developing and managing student databases using database management software, coordinating the hiring of lecturers, managing the course approval and revision processes, and fostering working relationships with campus partners, community colleges and community organizations. The Administrative Manager executes the department's course scheduling and room assignments that ensures undergraduate students can meet graduation requirements in a timely manner. The MSO hires all Teaching Assistants and Special Readers for the program. The Administrative Manager oversees the planning and coordination of student engagement activities, special events, lectures, and conferences. The Administrative Manager manages an annual departmental budget of approximately $4 million, consisting of state funds, contract and grant awards, and private gifts. The Administrative Manager monitors expenditures using University systems (QDB, PAC, EDB, PAN, etc). The Administrative Manager oversees renovation of undergraduate program spaces and manages equipment inventory. The Administrative Manager is also responsible for overseeing the student services functions of the department, which include, but are not limited to, advising over 600 undergraduate students, ensuring department compliance with UCLA policies and procedures, on-time grade submission, resolution of student complaints, student disciplinary procedures and administering department scholarships. The Administrative Manager also oversees the Experiential Learning capstone internship program. The Administrative Manager serves as a key advisor to the chair and works with constituents to ensure strategic program and financial objectives are met.
Salary & Compensation
*UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Experience working with undergraduates in a college or university setting. (Preferred) Experience directing the planning and implementation of a multi-million dollar operating budget. (Required) Experience as a supervisor; knowledge and skills to assess staffing needs, write job descriptions, evaluate employee performance, and provide direction and staff training. (Required) General knowledge of management principles and practices and their application in complex institutional environment. (Required) Demonstrated skill and flexibility in the management of a diverse, multi-functioning staff including skill in defining requirements for positions, recruiting, training, and managing personnel. Skill in establishing a harmonious and productive work environment. (Required) Ability to simultaneously manage and work on a wide range or projects, performing a variety of duties and changing from one task to another without loss of efficiency. (Required) Ability to analyze and plan steps to take for specific projects or functions, to set and meet deadlines, and to achieve required results. (Required) Ability to analyze problems and situations, recognize components, and suggest solutions that are appropriate and useful. (Required) Demonstrated ability to work independently, to exercise judgement and initiative, and to follow through to completion or resolution. (Required) Excellent interpersonal skills to create and maintain effective working relationships with faculty, staff, students and School and University administrators. Ability to communicate effectively via verbal and written communications. (Required) Working knowledge of the organizational and operating structures of a University and its academic department. Skill in interpreting, explaining, and implementing complex policies and procedures. (Required) Skill in creating and maintaining databases for a variety of data. Demonstrated skill in operating a personal computer and in using relevant software (Windows, Microsoft Word, Excel, Access). Basic knowledge of advising and counseling techniques. (Preferred) Demonstrated knowledge of UCLA undergraduate curriculum, programs, policies, and requirements, including reading and interpreting transcripts. Demonstrated knowledge of UC staff personnel policies and procedures. (Preferred) Working knowledge of University systems such as OASIS, EDB, QDB, Travel Express, CIMS, SRWEB and PAC/Bruin Buy in order to monitor expenditures, place orders, verify payments, verify salary levels, and project expenses. (Preferred) Demonstrated knowledge of standard accounting principles to plan and monitor department budget and project expenses. (Required)
Education, Licenses, Certifications & Personal Affiliations Bachelor's Degree in related area and / or equivalent experience / training (Required) Master's Degree In related area and/or equivalent experience/training. (Preferred)
