This position supports the needs of students at the Lacey Campus. Duties include, admission and registration processing, assisting students with looking up information and adding and dropping classes. This unique position provides support for both credit and non-credit students and instructors. Position works 40% of their time at the one stop front counter and the rest of the time providing a variety of services in the support of the classes offered at the Lacey Campus. This position will work Monday through Thursday from 7:30am- 6:30pm. What You'll Do General One-Stop Functions Advise students, staff and the public with information and interpretation of college policies and activities related to enrolling at the college. Use independent judgment and knowledge of processes, regulations and policies to resolve problems to inform, educate, and assist students. Respond to inquiries via phone, e-mail and at the front counter about Enrollment Services, Advising, Registration, and limited Financial Aid. Direct customers to appropriate staff and departments within college and schedule appointments with appropriate staff when necessary. Process transactions for admissions and registration, including admissions applications and registration forms and registration forms for Community Education programs. Assists customers with the use of the college website, including all online functions and general information. Assist students with questions regarding Financial Aid and refer them to the college departments for more information. Registration and Admissions Follow the college's procedures for efficient registration processes, communication plans, and services for students. Communicate registration dates and policies to staff and faculty on the Lacey campus related to the enrollment cycle and calendar. Exercise independent judgment in explaining the college policies and regulations in regard to admissions and residency. Process Continuing Education registrations in CampusCE and CTClink. Work with departments on any issues related to registrations. Initiate third party invoicing registrations. Process refunds for CCE registrations and contact students. Lacey Campus Support Post signs on credit classrooms when classes are canceled. Help open study rooms for students. Check 25Live and post class schedules in holders next to classroom doors. Provide general reception for the buildings and direct students to different buildings on the campus as needed. Route any credit course supply needs to Fiscal Specialist position. Work with English Language Learners faculty on orientation days to support students. Work with the public information office to keep the large display behind the reception desk updated with college notifications. Coordinate with Ed Planners and faculty to come to classes a week before registration opens and make sure students are prepared and set up individual appointments as needed. Orientate new credit Lacey instructors to rooms, workspaces, printing, and supplies. Inventory credit supplies each month to make sure things are stocked and work with Fiscal Specialist so they can order. Monitor Lacey campus print information and reach out for more copies or additional information. CCE Support CCE class reminder emails/calls. Update enrollment numbers from CampusCE and DES into Train database/prep for Operations Calendar. Maintain Employee Development Fund pricing sheet for CCE classes. Input CCE evaluation comments and how did you hear about us info in tracking systems. Reconcile CCE rosters. Print handouts for CCE classes. Room set up for CCE classes. Contact for CCE instructors for day and evening on tech issues, getting into rooms, missing materials, and helping to answer questions or direct them to the correct person. Maintain the CCE mailing list. Qualifications You Possess Minimum Qualifications An Associate's degree AND three years of experience providing assistance to clients/customers regarding inquiries, complaints or problems; OR a Bachelor's degree AND one year of experience providing assistance to clients/customers regarding inquiries, complaints or problem; OR equivalent experience providing assistance to clients/customers regarding inquiries, complaints or problems. Preferred Qualifications Ability to work independently, prioritize multiple tasks, ability to function as a team member, maintain office confidentiality and accommodate multiple interruptions Position requires high degree of accuracy and attention to detail. Excellent written and verbal communication skills. Advanced knowledge of computers and software applications, specifically MS Office suite: Word, Outlook, Excel, PowerPoint, and Access.
