Primary Responsibilities: The Corporate Office Administrator is primarily responsible for supporting office operations, facility up-keep of supplies, equipment and daily organization, coordinating on site and off site meetings and/or events and arranging travel for visitors and leadership. Skills & Competencies: Associate's or Bachelor's degree or equivalent work experience required. 2+ years of relevant work experience preferably as office administration or administrative assistant Intermediate knowledge of Word, Excel and PowerPoint; advanced preferred Experience working in professional office environment that requires a special attention to detail to maintain professional image of office Demonstrated strong written and verbal communication skills Detail oriented, with the ability to produce high quality work in a deadline-oriented environment and an ability to multi-task Experience working in a work schedule environment, including in-office operation Essential Job Functions: Arrange travel arrangements to include hotel and flight bookings and securing ground transportation for select employees Prepare and submit expense reports on a timely basis Manage organizational information for newsletter and digital signage Plan and coordinate weekly food orders, team building and community events, as needed Greeting visitors and answering incoming phone calls Manage meeting room calendars Purchase office supplies and equipment Maintain stock level and taking proper inventory Provide mail management and distribution Submit work orders to management company and follow up for resolution Escalate employee and building issues to supervisor. Partner with vendors to ensure all supplies and office equipment are functioning well daily Partner with HR to manage building employee capacity and seating chart Develop and implement processes and procedures to streamline office management Responsible for office cleaning and submitting work order tickets (i.e., coordinating with a crew) Order and maintain records for employee awards and gift cards. Assist departments with various projects for events, meetings or ordering Establish and maintain negotiated rates with local hotels Assist HR and IT with preparation for new hires setup Other duties, as assigned by supervisor or leadership team. Key Metrics & Responsibilities Timely completion and submission of expense reports (weekly) Supply orders completed regularly (weekly) Timely submission and follow up on work orders Up to date meetings and calendars Physical Requirements Capable of working extended hours, to include evenings, weekends and holidays as necessary. Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed. Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, to include the exchange and receipt of information over the telephone. Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary. Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills. Must be able to work in small and confined spaces for extended periods of time. Must have finger dexterity for typing/using a keyboard. Environmental Requirements Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns. Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
