Position Summary The School of Health Sciences (SHS) Health Sciences Systems Coordinator (HSSC) will be a key liaison between the SHS and Information and Instructional Technology (IIT) Department and will possess critical thinking, project management and problem-solving skills. The coordinator will work closely with the SHS Leadership Team, SHS Admissions, Advising Office and IIT. The HSSC will be responsible for data collection and analysis, database administration, data integrity and the oversight of the Admissions, Communications, and Reporting systems for the SHS. In addition, the HSSC will be responsible for online application management and the development and implementation of automated communications. The HSSC must be skilled in report development using custom-built search parameters and report functions. Experience with Colleague or Enterprise Student Information Systems is essential. The HSSC must be able to work in an in-person office location and a flexible schedule, including evenings and weekends. This position reports to the Dean of the School of Health Sciences.

Job Duties and Responsibilities In collaboration with IIT, develop data collection and management screens and reports in Admissions and Student Systems. Ensure integrity of data collected and reported. Perform database administration of Admissions and Communications Systems. Locate and identify fraudulent admission applications as they arrive in the college-supported system. Responsible for configuring and maintaining automatic workflow processes to prevent future fraudulent admission applications from being submitted into the system. Write detailed custom search parameters that make identification of fraudulent applications easier to locate for reporting purposes. Create reports of fraudulent applications for IIT to remove them from the Student Information System. Assist with resolving duplicate applicant records, application errors and student portal accounts.
Online Application Management – Maintain the SHS online admissions application, including any updates or changes. To include but not limited to, testing, installation, and mapping of system data. Develop and maintain new online applications and data screens for SHS programs.
Communications and Marketing – Create, set up and update automatic and triggered (manual) emails using HTML/web design in Communications Systems. Generate, upload, and maintain marketing lists for triggered single-send emails. Utilize Admissions and Reporting Systems for marketing list purposes. Program email workflow processes and communication plans, engaging both Admissions and Communications Systems for seamless communication methods to broad student populations, including adults. Work with SHS faculty, leadership team, Admissions and Advising and Program Navigator to identify and implement a strategic marketing and communication plan for the SHS.
Administrative - Liaison between SHS and AACC IIT department. Liaison between AACC and Admissions, Communications and Reporting Systems customer services and support teams. Use forum and training opportunities (official webinars, training courses, etc.) from partnering solutions to network and discover system improvements and updates as appropriate for Admissions, Communications and Reporting Systems products.
Administrative - Work with SHS Admissions and Advising staff, college Admissions and IIT to research, test and troubleshoot new technologies, programming, and workflow processes in Admissions, Communications and Reporting Systems. Support, document, and research issues involved with Admissions, Communications and Reporting Systems, including, but not limited to, testing and troubleshooting new upgrades for each system. Custom-build reports in Admissions and Communications Systems and other systems utilized by the college to produce daily, weekly, and on-demand reports and logs for the SHS to include but not limited to the Dean, Admissions and Advising office, Assistant Deans/Directors, Academic Chairs and Administrative Coordinators.
Create and maintain documentation of daily operations, standard operating procedures, workflow processes. Provide user training to SHS faculty/staff. Serve as a lead database administrator for SHS Admissions and Communications Systems. Respond to emergency calls and system errors after hours, on weekends, and/or holidays.
Required Qualifications: Associate's degree or higher
Minimum of two to five years of relevant experience
Relevant technology experience in higher education or information technology environment
Familiarity with college selective admission processes.
Proficiency in developing, maintaining and utilizing admission management software (i.e., Ellucian Recruit), data management and document organization.
Excellent organizational skills and attention to detail to ensure accuracy in data management and document handling.
Demonstrated commitment to collaborative management, team-building, and consensus-building—clearly and consistently demonstrating equity, diversity and inclusion.
Effective communication skills professionalism. Ability to work independently and as part of a team, handle multiple projects with competing deadlines and adhere to data privacy regulations and maintain confidentiality.
Preferred Qualifications: Bachelor's degree preferred.
Experience with Ellucian Recure and SalesForce.
