Job Summary The coordinator, budgeting and compliance provides administrative support for Academic Affairs budgeting.  In addition, this position provides grant compliance support for the Office of Research and Creative Activity (ORCA) and provides compliance support to the Student Academic Support Services (SASS) team.
Essential Job Functions and Performance Indicators The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. Job Responsibilities and Execution Assists the provost's office with cyclical budgeting planning and processes Provides daily administrative support to review and approve spend authorizations, expense reports, and other payments Serves as the point of contact to establish suppliers and contractors for purchasing and payment Monitors academic expenditure to ensure efficient use of resources and good financial stewardship Supports the Office of Research and Compliance (ORCA) with post-award compliance requirements and reporting to key stakeholders Ensures that direct costs charged to grants and contracts are both allowable and allocable under funder and University grant administration guidelines; supports ORCA with status requests for accounts and availability of funds Support the Institutional Review Board (IRB) with scheduling and administering regular meetings, taking minutes and providing follow-up after the meetings Assists the Specialist, Grants and Contracts in researching key grant opportunities and corporate and community partnerships in alignment with institutional mission, strategy, and research priorities Assists with data management practices, annual office performance metrics, and community-engaged impact reporting across units, services, and projects Provides administrative support to the Student Advising Support Services (SASS) team to verify and process student accommodation requests Service Excellence Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence Models, supports, and holds others accountable to the University's values Communication, Teamwork and Collaboration Serves as institutional point of contact for post-award sponsored project and partnership issues; acts as a liaison to with various departments including Fiscal Affairs and Human Resources Coordinates with Academic Affairs, ORCA, and SASS to support students, faculty, and staff Develops and distributes monthly financial reports to the provost Support the provost with cyclical compliance reporting for SARA and other regulators Job may require other duties as assigned. Required Qualifications – An equivalent combination of education, training and experience will be considered. Additional requirements may be designated by position.
Bachelor's degree Minimum of 3 years of related work in higher education or the not-for-profit sector Strong communication and administrative experience Knowledge, Skills and Abilities – May be representative, but not all inclusive, of the knowledge, skills and abilities necessary to perform this job competently.
