The Owners Association Administrative Assistant is responsible for overall administrative support for the Caldera Springs Owners Association. They will work with Owners Association Contractors and Resort Association Management Services associates to ensure the effectiveness and overall success of the departments. The Owners Association Administrative Assistant will always conduct themselves in manner which supports the Core Values of Sunriver Resort: Trust,  Commitment, and  Open and Honest Communication. The Owners Association Administrative Assistant shall strive to provide exceptional service to owners, guests and vendors at all times. They will be responsible for exemplifying the Sunriver Resort/Caldera Springs Culture as well as promoting Sunriver Resort as both the Destination and Employer of Choice!
Maintain all departmental spreadsheets and databases Manage the changing inventory of ownership and rental homes. Update contract documents every year with policy and fee updates Meet and greet owners and guests in person and by telephone, providing information and answering questions the Caldera Springs Owners Association and community Regularly monitor Caldera Springs website to ensure accurate content Clerical assistance/data entry for department as needed Facilitates the day to day operations of the owners association Provides prompt and courteous service to all owners and guests Responsible for the general office and clerical duties, including filing, typing, correspondence, and reports, phone messaging, data input & maintenance of complex excel spreadsheets, Open and distribute incoming mail, assist in maintaining office appearance, supply inventory control and ordering, maintain office equipment Maintains strong relations with homeowners Attends all Board & Owner meetings, records minutes of the meetings and provides final draft to the Association Manager Maintains Association files, organizes Board & Annual meetings of the Associations Must be able to handle confidential information as required Maintain Rental Registration program and database including registration submissions, billing and audits Create annual Deschutes County Destination Resort Report Attends all appropriate department, division and resort meetings Resolves guest issues promptly and with great care and effectiveness Manages Harper's Outpost Rental applications and calendar Code weekly invoices and send to Financial Provider Assist with drafting contracts (from contract templates) for Association projects Assist with the creation of surveys for the ownership as needed. Assist with required mailings to all owners Create Association meeting notices for distribution High school diploma or equivalent required Two or four year degree from accredited college or university preferred Prior experience in an administrative role preferred Must be a United States citizen or possess a valid work permit Must have a valid driver's license and meet company driving standards Must have excellent phone etiquette Must be able to read, write and speak English Must have strong computer skills Must have strong working knowledge of Microsoft Office programs Ability to work a flexible schedule that may include evenings, weekends and holidays Must be able to frequently lift up to 20lbs and occasionally lift up to 50lbs with assistance
