Brief Summary of Work for this position: The position administers and coordinates various departmental business functions including purchasing, budget management, leave keeping, the University compliance program for Fire Extinguishers and AEDs, other projects and research as needed. The position supervises 1 to 2 part-time fire extinguisher inspectors and is responsible for the contractor performing additional inspections.
This position is conducting a higher level of duties for the EHS Department. It is now combining current work assignments. The main addition is for the tracking and management functions of EHS Departmental expenses, with the responsibility of ensuring the Department does not overspend while maintaining regulatory compliance for the Campus. As a part of this, the position is managing Purchasing Cards for the department. The dollar amounts for the cards have a limit of $25,000. This position also assists in reconciliation during an emergency when the limit would be increased significantly for the Emergency Operations Center Purchasing Card.
Additional duties include conducting independent research and managing vendors and services for the campus. It also ensures the EPAF system for temporary employees, including Fire Extinguisher Inspectors for over 2,500 monthly fire extinguishers. As a part of this, the position has been supervising a student employee, another temporary employee, and the Fire Extinguisher Program.
This position works to ensure EHS has the ability to conduct business and complete financial transactions. This position issues IDI's for services and inputs travel expenses into Chrome River. This position has taken on the duties of working with the Red Cross when EHS conducts CPR Training and has been updating the EHS Webpage. The position provides backup to EHS Learning Management System ( HSI Learning). Minimum Education and Experience Requirements: Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred Education, Knowledge, Skills & Experience : EH&S: Knowledge of the principles of emergency planning and preparedness and/or business continuity planning in a large, complex organization; federal, state, and local rules, regulations, and procedures regarding emergency management and business continuity or the ability to learn these skills Knowledge of disaster recovery, business continuity, risk assessment procedures, policy formation, and overall program management and/or the ability to learn these skills Ability to compose and draft correspondence, reports, and plans. Able to proof and format same Ability to interact with all levels of management and staff to gather and translate continuity requirements in order to formulate recovery solutions Able to collect, store, assimilate, and compile data into reports, plans, or other documents Able to maintain accurate data on logs and identify variances Demonstrated skills in website design, development, and/or maintenance Understanding of the organizational culture and management practices of higher education Excellent communication, analytical, listening and organizational skills Presentation skills; must be able to create effective presentation materials, and deliver engaging, persuasive, and effective presentations to large & small audiences Good writing and verbal communication skills Must be able to communicate in a comfortable and persuasive fashion with the broad constituency of higher education (top campus leaders, deans, chairs, faculty, senior administrators, department managers, etc.). Abilities with Microsoft Office programs: Word, Excel, and PowerPoint or comparable programs Required Certifications or Licensure: N/A
Primary Purpose of Organizational Unit: The primary purpose of the department of Environmental Health and Safety (EH&S) is to provide leadership in maintaining a safe, healthy, sustainable and disaster resilient environment for the UNCW community including faculty, staff, students, and visitors and to provide management with information necessary to address regulatory and actual losses associated with EH&S issues. The department supports the university and division-wide goals of providing a safe environment and preserving environmental conditions. The goals are accomplished through the following conduits: the development and implementation of EH&S programs; conducting facility and equipment inspections; providing incident response and investigations; performing disposal services;
providing training to support EH&S programs; and, providing leadership through various committees and professional organizations.
