About the Department: The College of Agriculture and Life Sciences (CALS) Communications team leads the development and execution efforts of strategic, multi-platform content that clearly and measurably advances the mission, vision and brand of CALS, NC State Extension and NC State University. CALS Communications applies a fully integrated suite of skills — communications strategy, marketing, web design, content creation, graphics and videography — to support CALS strategic communications and marketing plans. CALS Communications also provides communications consultation and services for the departments, centers and programs of the college.
Essential Job Duties: The Business Operations and Special Projects Manager will oversee a diverse range of responsibilities, combining budget management, administrative oversight, and special project leadership. This position will report to the Marketing Director of CALS Communications. The Business Operations and Special Projects Manager is an integral part of the Communications team, providing essential support to the senior management team. The role will focus on high-level initiatives that support and advance the College's mission and demands a high degree of complexity and scope, making it central to the organization's operational success.
As the Business Operations and Special Projects Manager you will lead special projects, identifying opportunities, evaluating risks, and making informed decisions to align with company goals. The financial expertise you possess will be pivotal, managing day-to-day financial operations, monitoring accounts, and forecasting future needs. Additionally you will get to provide administrative oversight, ensuring clear project objectives, timelines, and deliverables, and streamlining processes across the organization. Your ability to navigate this multifaceted role with precision and agility will be key to the organization's continued growth and success.
Key Responsibilities include but are not limited to:
Financial Management: Monitor Financial Accounts and Reconcile Budget Expenditures Manage travel authorizations, reimbursements, and payments, ensuring compliance with organizational policies and procedures. Oversee Purchasing and Other Financial Transactions and Statements Approve and Disburse Scholarship and Computer Stipends Summarize Financial Data to inform decision-making and planning processes. Forecast budget needs based on historical data, funding sources, and organizational goals and objectives. Prepare financial documents and reports, including budget summaries, financial statements, and financial forecasts, to inform organizational decision-making and planning processes. Strategic Planning and Business Administration : Manage human resources processes: including hiring, onboarding, offboarding, and performance management. Ensure staff access to necessary resources and tools. Oversee payroll processing and timesheet management Coordinate the onboarding and offboarding process for new and departing employees Lead recruitment and hiring efforts, supervise student workers, and ensure a positive work environment for all employees. Identify and coordinate professional development opportunities for staff to enhance their skills and knowledge. Coordinate planning and needs for facilities, including space planning, renovations, safety, security, and equipment. Develop, update, and train staff on office policies and procedures to ensure compliance and efficiency. Monitor, ensure compliance with, and respond to matters of policy, regulations, and law to mitigate risks and ensure adherence to legal requirements. Maintain and archive departmental business, administrative, and financial records to ensure accurate and accessible documentation. Special project & program support : Develop and manage project plans, timelines, and resources in collaboration with the Communications Team. Coordinate project activities, ensuring alignment with organizational goals and objectives. Contribute to the development and execution of communicating the strategic initiatives across the organization. Provide input on long-term planning and direction. Collaborate with internal and external stakeholders to gather project requirements, provide updates, and resolve issues. Build and maintain strong relationships with stakeholders, ensuring their needs are met and expectations are managed. A deep understanding of the college and greater university community is a plus. Regularly assess project progress against established metrics and key performance indicators (KPIs). Identify risks and issues, and take proactive steps to mitigate them. Keep project stakeholders informed of project status and any changes to the plan. Identify opportunities for process improvements within the Communications Team and across the organization. Develop strategies to optimize workflows, streamline processes, and enhance efficiency. Ensure that all projects adhere to organizational policies, procedures, and best practices. Maintain high standards of quality and accuracy in project deliverables. Oversee the creation process of the organization's magazine, from initial concept development to final production. Work closely with the editorial team, graphic designers, and other stakeholders to ensure timely and high-quality publication. Provide regular updates on project progress, achievements, and challenges to the Communications Team and other stakeholders. Tailor communications to the needs of different audiences, ensuring clear and effective communication. Provide mentorship and training to team members and colleagues on project management best practices, communication strategies, and other relevant topics. Evaluate the success of projects upon completion, gathering feedback from stakeholders and team members. Identify lessons learned and areas for improvement and incorporate them into future projects. Minimum Education and Experience: Bachelor's degree in accounting, business, finance, or other related field and three years of experience or an equivalent combination of education and experience.
Other Required Qualifications: Intermediate knowledge of fiscal/budgetary principles and accounting functions; maintain quality assurance in adherence to set University procedures and guidelines Demonstrated analytical skills to assess existing financial processes and procedures, recommend and implement changes, and develop best business practices Ability to resolve operational problems of varying complexity; make suggestions for and/or implement process improvements Experience collecting, organizing, and interpreting data from a variety of sources, and presenting data in a clear fashion Strong communication skills and ability to translate complex financial concepts to non-technical staff and stakeholders Demonstrated commitment to delivering exceptional customer service and collaborating effectively within a team environment. Ability to prioritize workload and adapt to changing demands and priorities Preferred Qualifications: Professional experience in the field of higher education Experience working with multiple funding sources and knowledge of budgetary planning, development, and control Proficiency in PeopleSoft HR Required License(s) or Certification(s): n/a
