Responsibilities:
Calendar Management:
Schedule and coordinate appointments, meetings, and events for the executive.
Efficiently manage and prioritize the executive's calendar.
Provide coverage for breaks, lunch, and other necessary check-ins for the preschool.
Communication:
Act as the primary liaison between the executive and internal/external stakeholders.
Draft, prepare, and translate correspondence, emails, reports, and other documents between Chinese and English.
Facilitate verbal, written, and cultural translation as needed.
Travel Arrangements:
Coordinate and book travel arrangements, including flights, accommodations, and transportation for the executive.
Meeting Support:
Prepare meeting agendas, attend meetings, and take minutes when required.
Manage meeting logistics, including room setup, catering, and audio-visual equipment.
Document Management:
Organize and maintain physical and electronic files for easy retrieval.
Handle confidential and sensitive information with discretion.
Assist in processing background/live scans for the preschool.
Office Management:
Oversee office/preschool supplies, equipment, and facilities.
Support new staff onboarding and provide administrative assistance as needed.
Task Coordination:
Coordinate tasks and projects, ensuring deadlines are met.
Follow up on action items and provide progress reports to the executive.
Research:
Conduct research and compile information as requested.
Summarize findings and present information clearly and concisely.
Event Planning:
Assist in planning and coordinating company events, conferences, and special occasions.
Requirements:
Proficiency in Mandarin and English, with excellent verbal and written communication skills in both languages.
Strong organizational and time management abilities.
Discretion and confidentiality in handling sensitive information.
Experience in calendar management, travel coordination, and office administration.
Ability to work efficiently in a fast-paced environment and prioritize tasks effectively.
