The Associate Director for Advising Operations is responsible for overseeing assessment activities relevant to the undergraduate student experience within the Newnan Academic Advising Center. 
Responsible for advising appointment policies and systems, with particular focus on access, availability, and modality. The associate director will evaluate, create and implement practices that impact appointment scheduling.  
The Associate Director for Advising Operations is expected to research and benchmark best practices in advising as they relate to academic advising operations, liberal arts advising, assessment activities, and other strategic initiatives. The individual in this position will be expected to demonstrate excellent communication skills; build and maintain positive, effective relationships with key stakeholders within Newnan and throughout the college; handle multiple projects and priorities; and be willing and able to adapt rapidly to change.  
The Associate Director is expected to supervise student and staff members. As a contributing member of the Newnan Central Leadership Team they will also be expected to collaborate with other leadership team members and assist in providing functional leadership and administration of the daily operations of the overarching unit. 
SUPERVISION RECEIVED General supervision is received from the Director of Newnan LSA Academic Advisign Center
SUPERVISION EXERCISED Supervision is exercised over full-time administrative professional staff and student staff. 
Key Areas of Responsibility (KARs) Administration and Leadership of Newnan Front Desk and Scheduling (40%) Manage advising appointment policies and systems, with particular focus on access, availability, and modality. Develop and direct an ongoing assessment plan to lead appointment policy decisions and improve workflows. Design and implement an annual communications strategy for Newnan appointment policies and scheduling systems.   Serve as lead point of contact for advising staff and campus stakeholders regarding scheduling policies and frontline operations Evaluate and manage all frontline technological needs, including but not limited to upgrades and advancements. Direct daily operating and safety procedures for Newnan scheduling and frontline services. Ensure scheduling practices and daily practice of staff match advisor job expectations, descriptions, and percentages  Establish processes and procedures necessary to identify scheduling discrepancies and communication protocols. Supervision  (25%) Provide end-to-end supervision of scheduling and frontline staff (hire, orient, onboard/train, coach, discipline). Manage work schedules and vacation/leave requests for scheduling and frontline staff Provide direct supervision to general academic  advisors and staff as assigned  Communicate unit and area goals to staff and lead implementation Lead year round performance management process with all direct reports, including the planning, coaching, and review of each individual's performance Actively engage direct reports in development and growth opportunities throughout the year Evaluate and manage the daily operations and work regarding appointment scheduling  Lead the year round performance management process with all direct reports, including the planning, coaching, and review of each individual's performance Actively engage direct reports in development and growth opportunities throughout the year Continuous Improvement of Newnan Operations (25%) In collaboration with the Director and other members of the Leadership team, develop and execute a comprehensive continuous improvement strategy to advance Newnan mission and goals. Collaborate with Newnan leadership to identify, prioritize, plan and implement projects to reduce costs and increase productivity, resulting in significant process improvement and student/staff satisfaction. Serve as primary resource to Newnan leadership on project selection, scoping, planning, and evaluation topics as assigned. Actively lead projects and provide individual contributions after key projects have been identified. Promote management of a culture of continuous improvement through individual and group coaching as well as staff workshops; Implements work group intervention strategies. Create team processes for optimizing results. Conduct thorough assessments of existing processes and establish key performance indicators (KPIs) to measure the effectiveness of improvement initiatives. Utilize data-driven insights to identify trends, bottlenecks, and areas for improvement. Leadership (10%) In collaboration with other members of the Newnan Leadership team, assist in developing short- and long-range planning efforts and directing the day-to-day administration of Newnan Serve as a resource for advisors and support staff Identify and coordinate visioning development and project opportunities for Newnan staff Respond to difficult student and parent cases, as well as inquiries from faculty members, advisors, and administrative staff Serve on and provide assistance to various faculty, administrative, or student committees, both within LSA and across the University Represent Newnan and the College to students, parents, and other community stakeholders Masters degree or an equivalent combination of education and experience  Experience collecting and analyzing data  Proven ability to supervise, train, and develop staff, including the demonstrated ability to recruit, retain, mentor, and support a diverse staff  Experience developing a collaborative team environment  Demonstrated organizational skills and experience creating business processes and workflow efficiency  Demonstrated ability to manage a wide range of projects  Excellent interpersonal, written, and oral communication skills with a demonstrated ability to respond to difficult situations  Ability to learn quickly and provide attention to detail in a fast-paced environment with frequent interruptions  Computer competency in software applications for word processing, spreadsheets, and databases  Familiarity with higher education policies and procedures  Demonstrated ability to work within a complex and collaborative administrative structure  Demonstrated ability to analyze, compare, and evaluate processes and workflows  Experience with business software applications to manage human resources, travel, and expenses (e.g. PeopleSoft and Concur)  As one of the world's great liberal arts colleges, LSA pushes the boundaries of what is understood about the human experience and the natural world, and we foster the next generation of rigorous and empathetic thinkers, creators, and contributors to the state of Michigan, the nation, and the world.
