Laurentia Vineyard and Winery located in Madison, Ohio is seeking an Assistant Wine Club Manager. This person will be responsible for processing orders and communicating with our Wine Club Members and guests to ensure a positive guest experience virtually and in-person. Since Laurentia Winery is exclusively DTC, our Assistant Wine Club Manager has a pivotal role in customer service, communication, organization, and sales skills. The Assistant Wine Club Manager has the potential for advancement into the role of Wine Club Manager.
Essential Duties and Responsibilities:
Process daily webstore orders Respond to customer inquiries Update expired membership accounts before shipments Communicate with current and potential members on a regular basis Generate detailed reports on each wine club shipment Facilitate quarterly wine club shipments Audit new wine club sign ups to ensure the Wine Hosts captured all of the appropriate information Coordinate with hospitality director regarding necessary inventory Process shipments and accommodate special requests Work closely with the production team with packing, unpacking, and the shipping of all webstore and club orders Greet club members in the Tasting Room Assist Hospitality Director with weekend service as needed Send each new wine club member a welcome packet, phone call, and personalized note Communicate updates with Hospitality Director and ownership Ensure webstore is up to date with current wines Tag new email subscribers in Mailchimp accordingly Tag new members in commerce7 accordingly Tag repeat customers in commerce7 accordingly Keep informed of new functions of the POS systems Add all new customer information, updates, and detailed account notes for all new members Plan, execute, and oversee membership events alongside the Hospitality Director Follow up on returned packages, account for all wine returned to inventory Work with the Hospitality Director to plan and execute wine club promotions Order more Wine Club supplies as needed (envelopes, wine club applications, membership cards) Work with the Hospitality Director and ownership to plan Wine Club appreciation gifts and create new ideas Inform the Hospitality Director of any pertinent emails or phone calls Oversee the email as well as the email; respond to all emails and forward the appropriate emails to their respective departments as needed This position reports directly to the Hospitality Director and Ownership.
Scheduling:
This is a full-time, non-exempt position with the requirement to work events, holidays, and the flexibility in scheduling to ensure the business-staffing needs are met.
Education/Experience/Skills:
Administrative experience is required Wine Club experience is preferred Wine knowledge is required Excellent verbal, written and interpersonal communication skills. Proficient in spelling, grammar, and punctuation Highly accurate, organized and detail-oriented, with strong multi-tasking and time management skills. Self-motivated and willing and able to assume additional responsibilities. Ability to anticipate customer needs and respond appropriately, as well as take initiative to resolve day-to-day customer concerns within the parameters of the position's responsibilities. Strong proficiency with Microsoft Word, Excel, Powerpoint, and Google Drive; prior experience with database management systems and POS (Commerce7 and Bevero preferred); Web-savvy. Ability to work weekends and holidays as well as flexibility in scheduling to ensure business-staffing needs are met. College Degree Job Type: Full-time
