Project Team: 
The Assistant Project Manager (APM) plans, directs, and coordinates activities of designated projects to ensure that goals or objectives of the project are accomplished within prescribedtime frame and funding parameters. APM is responsible for overall project planning and performance: safety/ environmental; cost; cash flow; milestones; quality; production;specification and contract compliance; legal compliance. Managing multiple relationships, the APM interfaces with actual/prospective clients, government representatives, subcontractors,vendors, line employees and senior management to ensure successful project delivery, client satisfaction, and allow for future work with clients, subs and vendors. 
Duties & ResponsibilitiesPEOPLE Directs and coordinates activities of project personnel to ensure project progresses on schedule, within prescribed budget, according to specifications and safety guidelines.
PROJECT PERFORMANCE Reviews Job Status Reports and modifies schedules or plans as required. Conducts weekly meetings for project scheduling, budgeting, and planning. Prepares project reports for management, client, or others.
PROBLEM RESOLUTION Confers with the project team to provide technical advice/resolve problems. Handles challenges with vendors, subcontractors, and project team in a timely and professional manner (requests approvals as needed)
PROJECT FINANCES Provides timely billing for projecting and tracking payment schedule; collects on receivables. Ensures positive project cash flow while complying with subcontractor/vendor terms. Understand drivers of project cost (labor, material, equipment, overhead, etc.) Understand billing methods based on a variety of contract terms (percent complete, etc.) Understand how to maintain positive project cash flow. Provide project Cost to Complete to senior management, including change orders, potential risks, etc.
PROJECT CONTROLS Generates, reviews/approves Purchase Orders (PO's); generates and responds to RFI& (or forwards as appropriate); generates Proposed Change Orders (PCO's), adjusts schedule, etc. Reviews vendor and subcontractor bills for accuracy and contract/PO compliance. Manages/schedules subcontractors; works with vendors to ensure timely delivery of materials. Ensures documents/transactions are processed appropriately: subcontractor/vendor agreements are properly executed; payroll and production tracking are complete receipts are reviewed and forwarded for processing; safety and quality audits are conducted and reviewed. Ensures timely, accurate payment according to terms, change orders and deducts. Creates, identifies, tracks, and obtains approval for all change orders.
MANAGING RELATIONSHIPS Manages client relationships to ensure client satisfaction; negotiates changes to ensure quality project results are delivered on-time and on-spec, with safety and profitability in mind. Resolves conflicts effectively, professionally, and timely with stakeholders.
Qualifications & CompetenciesEDUCATION/EXPERIENCE Bachelor's degree from four-year college in architecture, construction management, interior designer, or related field + five (5) years of related experience (hospitality, millwork, interior finishes, etc.), or equivalent combination of education and experience.
LEADERSHIP Able to set goals and ensure accountability. Able to manage through delegation and hold others accountable. Sets expectations and monitors delegated activities. Able to work with teams to enhance efficiency, quality, and safety.
INTERPERSONAL SKILLS Able to communicate effectively (verbal, aural, written) in English. PREFERRED: Bilingual in English/Spanish. Able to resolve conflict and negotiate outcomes successfully with a wide variety of individuals inside and outside the project team. Able to speak effectively and persuasively before groups of customers or employees
TECHNICAL Strong working knowledge of interior finishes, Hospitality interior design, FF&E, logistics, and installation processes. Read/interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; write routine reports and correspondence. Strong attention to detail.
TECHNOLOGY Able to use technology to review performance/progress, plan, schedule, track activities, communicate, monitor financial data, verify quantities of materials/labor used. Advanced knowledge of Windows operating system and MS-Office (Outlook, Word, Excel).
Strong knowledge of, Bluebeam, Adobe Acrobat and Google workspace, such google sheets and Gmail.
PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a compute
Must be able to lift up-to 20 pounds at times
Must be able to access all areas of the facility to determine needsMay require travel
WORK HOURS
8:30 am to 5: 30 pm, additional hours may be necessary due to global teams.
