Responsibilities
• Oversee the registration and operation of the art rental collection and campus loan program.• Responsible for the storage, care, tracking, and identification of conservation issues of the objects in the art rental collection.• Register outgoing temporary loans utilizing collections management database.• Answer questions regarding art rental collection and campus loan policies and procedures.• Assist with registration department projects as needed.• Evaluate campus loan requests and assess locations for suitability and safety of artwork.• Create loan forms, invoices, and condition reports.• Act as a liaison between university administrators and the museum for the campus loan program.• Track, photograph, and catalog artworks according to museum standards.• Assess condition of objects and document detailed condition reports with photographs.• Coordinate with Registrars and conservators for condition issues.• Maintain documentation and tracking of art rental transactions and artworks.• Field inquiries related to the art rental collection and guide renters through the rental process.• Cares for the art rental collection, including cataloging, organizing display, assessing framing and conservation needs, cleaning artworks, and ensuring proper labeling.• Assist renters and departments with selecting artwork and make recommendations.• Identify trends for appropriate artworks and give input during the acquisition process.• Collaborate with the Shop Manager and Communications staff for marketing campaigns.• Create student-focused art rental events with the public engagement and learning staff.• Oversee rights and reproduction of objects in the collection.• Evaluate requests for reproduction, create contracts, handle invoicing, and ensure accurate reproduction.• Process products displaying collection items and maintain entries in the database.• Research and process permission requests for catalogs and exhibit materials.• Regularly review and update Rights and Reproduction procedures and fee structure.• Keep abreast of current issues and legislation regarding copyright and electronic image issues.• Other duties as assigned for the art rental collection and registration department.
Requirements
• BA/BS degree in museum studies or related field, or at least four years of related education and work experience.• Minimum of three years of museum registration or collections management experience.• Experience handling works on paper, paintings, and understanding of preventative conservation.• Working knowledge of museum registrar/collection management best practices.• Working knowledge of object cataloging standards.• Strong proficiency in databases, collections management systems, and Microsoft Office software.• Effective time management and organizational skills with attention to detail.• Ability to handle multiple projects simultaneously and prioritize efficiently.• Ability to work independently and as part of a team.• Ability to lift 40 pounds, climb ladders, and stand for long periods of time.• Desired: Previous experience processing rights and reproductions.• Desired: Previous experience with TMS database.• Desired: Knowledge in art history.• Desired: Experience with Adobe Photoshop.• Desired: Experience framing.
