JOB SUMMARY This position will provide direct administrative and analytic support to the Development and Finance Department. This includes gift processing, receipting, reporting, analysis, document management coordination, bookkeeping journal entries, identifying and implementing process improvements, and other assigned duties. The Assistant Bookkeeper will also manage correspondence and support services as requested. The position will at times be responsible for managing sensitive information in a confidential and professional manner.
This is a part-time position starting at 15-20 hours per week.
ESSENTIAL DUTIES, FUNCTIONS, AND RESPONSIBILITIES Open and distribute mail. Receive and record donations to check report and Donor Management Software. Prepare, print and mail thank you letters for donations received in our office and High Dollar Donors from Special Olympics International lists. Send Memorial acknowledgements to families. Accounts Payable data entry. Financial tracking for local Special Olympics Teams. Prepare reports for development staff. Assist in the management of Integrated Direct Mail Program and other initiatives set by Special Olympics International. Keep inventory on office supplies and make sure appropriate areas are stocked. This includes but is not limited to paper, bathroom supplies and cleaning supplies. Track submission of in-kind reports. Track and record postage and copy data. Scan and file historical entity and finance documents. Exhibit exemplary attendance and punctuality. Comply with company policies and procedures. Perform other duties as assigned. EDUCATION & RELATED EXPERIENCE Bachelor's degree preferred Minimum of 1-3 years' bookkeeping or similar experience. A valid driver's license is required. KNOWLEDGE, SKILLS, AND ABILITIES Experience working in accounting software; proficiency with QuickBooks preferred Experience with or knowledge of Accounting or Finance functions (prior experience in a not-for-profit preferred but not required) Proficiency with Microsoft Excel Experience working in other MS Office suite, esp. Word and PowerPoint, preferred Proven ability to gather, analyze and summarize both quantitative and qualitative data Ability to critically assess existing work processes and deliver a range of viable business process improvement options for management review Strong organizational skills, attention to details, and the ability to manage multiple tasks under tight deadlines and competing priorities Exceptional client service orientation and interpersonal skills Strong verbal and written communication skills Ability to work with minimum oversight SUPERVISORY RESPONSIBILITIES AND INTERACTIONS WITH OTHERS The Assistant Bookkeeper has no supervisory responsibilities. However, the role will be expected to interact daily with staff, volunteers, and the general public.

Hand-eye coordination is necessary to operate computers and various pieces of office equipment.
WORKING CONDITIONS Duties are typically performed in an office environment. The work environment is usually a well-lighted environmentally controlled indoor environment with a moderate level of noise. This is a part-time position, and the hours of work and days will vary Monday through Friday, 8:00 a.m. to 5:00 p.m., agreed upon by both parties. Work hours may vary depending on operational activities and required duties; night and weekend work will likely not be required.
