Position Summary The Advancement Assistant provides diversified, high-level confidential support for Facilities and Office Operations and assists the Director of Facilities and Building Operations and the Director of Facilities and Office Operations in the ongoing development, implementation, direction, management, and evaluation of office operations. Responsibilities include maintaining accounting records, expense processing, streamlining methods, delivering services, researching and collecting data, and Ford Alumni Center scheduling and event support. Working in an administrative team environment, this position will provide administrative support to University Advancement. Reporting to the Director of Facilities and Office Operations, this position is responsible for promoting the operational goals of the office.


This position requires independent thinking and the ability to prioritize work assignments, use good judgment, and take initiative to solve problems. Under the supervision of the Director of Facilities and Office Operations, this position makes decisions about routine office management, prioritizing work assignments, and streamlining workflow.


The Advancement Assistant regularly works with colleagues at all levels of University Advancement and University Communications. This position is also in contact with students, faculty, and staff across campus as well as outside vendors and UO Foundation staff.


Please note that this position works a regular schedule of 8:00 a.m. to 5:00 p.m. Monday through Friday, but may be required to work evenings, weekends, and/or holidays. A flexible work schedule is required based on operational needs requiring work outside of normal business hours.


This position will primarily work at a reception desk in the Ford Alumni Center but may be eligible for occasional remote work after an initial onboarding period.
Minimum Requirements Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR An Associate's degree in Office Occupations or Office Technology; OR Graduation from a school of business with a Certificate in Office Occupations or Office Technology AND one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis. Professional Competencies Discretion and ability to interact with high-level donors, and the ability to maintain a high level of professionalism and confidentiality. Strong communication skills, independent judgment, and the ability to work effectively with diverse populations. Ability to set priorities, take initiative, be proactive and follow-up, and manage diverse responsibilities and multiple tasks. Excellent writing, editing, grammar, proofing, and attention to detail skills. Excellent organizational skills. Strong analytical and creative abilities. Ability to interact, communicate, and work effectively with individuals, recognizing and respecting the many and varied identities of each person. Commitment to promoting and enhancing diversity, equity, and inclusion. Self-motivated, punctual and reliable; organized and flexible. Ability to work in a team environment with distractions. Preferred Qualifications Experience with client and external constituency customer service. Experience with Word, Excel, PowerPoint, proven graphics computer skills, and database computer applications. Experience in higher education. Experience with scheduling software.
