We are looking forward to your application!  GENERAL JOB INFORMATION Title: Advancement Administrative Coordinator  Reports To (Title): Vice President of Advancement Job Type: Administrative Department: Advancement JOB SUMMARY
The Advancement Administrative Coordinator responsible for providing administrative support to the Advancement department, including providing organizational support for meetings, performing donor information recordkeeping, preparing and submitting external communications, and supply ordering for departmental needs. The position requires a high level of discretion and integrity due to its involvement with serious and confidential communications/information regarding donors and their philanthropy. ESSENTIAL FUNCTIONS Essential Function 1 Gift Receipt, Entry and Acknowledgement Serve as first line in receipt of mailed gifts, including stock transactions, providing gifts/records to each donor's relationship manager within 24 hours of receiving the gift. Ensure contact information for all donors is accurately entered and updated in TUW's database within 24 hours of gift receipt. Prepare acknowledgement letters that are informationally accurate and devoid of errors and mail them in a timely manner. Serve as a liaison with the finance division to ensure proper protocols and procedures are followed. Review pledges and enter accurate data. Essential Function 2 Direct Mail Production Prepare accurate mailing lists. Print and prepare direct mailings as needed, ensuring they are mailed within one day of completion. Essential Function 3 Meetings and Trainings Coordinate and handle all logistics for departmental and campaign cabinet meetings. Schedule meeting rooms, assist with agenda, set up room, provide staff notices, prepare visuals and handouts (PowerPoint), coordinate food (if applicable), and record minutes. Facilitate volunteer meetings and trainings. Take minutes for meetings, record and publish. Essential Function 4: Administrative Responsibilities Provide general correspondence support and report preparation as needed. Prepare materials for individual giving staff and others as appropriate. Provide administrative services to the Advancement team. Track inventory and supplies for resource development, placing orders as necessary. ADDITIONAL RESPONSIBILITIES Oversee stock transactions from time of transfer, to receipt of check and stock receipt. Review obituaries according to designated schedule and update database accordingly. Provide relief as scheduled for Administrative Services Associate (receptionist/switchboard operator). Participates as a champion, project lead, and/or member of organizational development teams as required. Complete Andar training as appropriate when offered QUALIFICATIONS Education
High school education required. Experience At least 2 years data-entry and administrative support experience required. Prior experience supporting multiple teams and working cross-functionally. Skills Positive attitude and willing to be a team member Above average proficiency with the MS Office Suite of programs. Ability to operate general office equipment. Strong organizational and time management skills, with ability to manage multiple projects and prioritize assignments. Strong written and verbal communication skills. Familiarity with event planning and fundraising helpful. Professional, pleasant customer service skills Have fun and enjoy the position PHYSICAL DEMANDS OF JOB This job requires exerting up to 20 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Worker must frequently use typical office equipment (telephone, copier, printer, fax, etc.) Worker sits most of the time. Worker communicates with constituents, clients, and/or partners by phone and in person. Routinely required to walk and occasionally travel by car. WORK ENVIRONMENT
This is a hybrid position. Primarily works in a climate controlled office-based setting. The opportunity to work remotely 2 days a week is available
