Executive Coordinator Job Summary: As an Executive Coordinator at our Innovation Center, you will be the key brand ambassador and the first point of contact for all employees, visitors, vendors/suppliers, and guests. Your energetic and friendly assistance will ensure that each visitor has a warm and efficient experience in line with the Cirrus lifestyle. You will be responsible for greeting and servicing customers, providing information services, and offering administrative and advisory support to executive and senior Product Development leadership. This position requires professional maturity, attention to detail, discipline, and high emotional intelligence.
Job Specifications: Job Type: Temporary
Location: Hermantown. MN
Pay Rate: $18.00 -$20.00 (DOE)
Shift: 8:00 AM to 4:30 PM M-F
Roles and Responsibilities: Greet and ensure all guests/visitors and non-Product Development employees are checked in with proper identification and visitor badges.
Support Executives and senior Product Development leaders by organizing calendars, preparing travel arrangements, arranging conference calls, and attending meetings.
Prepare executives for meetings by gathering materials, briefings, and managing attendees.
Answer and handle phone calls and inquiries to the Executive offices with professionalism and advanced language skills.
Work collaboratively with Executives and the broader team to ensure streamlined workflow.
Create professional written communication, dynamic presentations, reports, and spreadsheets.
Manage complex travel and meeting arrangements for executives and their teams.
Handle expense reports, invoices, and team expenses; assist with the annual budget process.
Serve as a "face" of the building and be involved in building-related matters.
Handle guest complaints in a professional manner and route them appropriately.
Maintain and organize supplies for front reception area, customer lounge, and training rooms.
Serve as a backup to other Executive coordinators when needed.
Qualifications & Skills: High school diploma or equivalent.
Two years of related reception/concierge experience in a corporate environment preferred.
Hospitality experience preferred.
Excellent written and oral communication skills in English.
Strong work ethic and a high level of professional demeanor.
Advanced proficiency in Microsoft Office Suite applications.
Basic accounting and financial management skills.
Ability to remain poised in a fast-paced, demanding environment.
Strong organization skills, attention to detail, and communication skills.
Self-motivated, resourceful, and solution-oriented.
Ability to prioritize multiple tasks and meet deadlines.
Ability to handle highly confidential material with discretion.
Ability to problem solve and implement conflict resolution strategies.
Anticipate needs and be highly collaborative.
Strong interpersonal communication skills.
