Admissions Secretary & Switchboard Operator Location Great Bend, KS : Position Description: To greet, direct, and provide front-line customer service assistance to all students, Barton employees, and visitors entering the Visitor Center; serve as a recruitment associate; and assist the Admissions Office in all recruitment activities. Responsible for connecting all incoming and out-going calls originated through the switchboard. Position Responsibilities: 15.00% - Customer Service. This includes but not limited to: greet and direct all visitors entering the Visitor Center; answering and responding to telephone calls; building internal relationships; information sharing with campus personnel; serve as on-campus recruitment associate; conduct campus visits with students as needed; response to other customer/student needs. 15.00% - Coordination of campus visit program. This includes but not limited to: schedule and coordinate all campus visits; building internal relationships; coordinate and align student ambassador schedules; distribute and maintain associated paperwork. 20.00% - Maintain daily operations of Admissions Office. This includes but not limited to: assist where needed; manage informational materials; distribute correspondence both internally and externally; assist in supervision of student ambassadors and student employees; maintain the prospect and inquiry database: process admission applications, prepare population selections, and letter generation. 5.00% - Assist the Admissions Team with organizing and participating in recruitment activities. 5.00% - Performs other duties as needed or assigned. 40.00% - Connect all incoming calls origination through the switchboard, logs calls, notifies security of 911 calls. Expectations: 1. To be an integral component of the Admissions / Business Office team. 2. To adhere to college and department procedures, objectives, and budgetary responsiblilities including keeping information confidential. 3. To maintain a customer-driven hospitality center in all aspects including having extensive knowledge of campus departments and their functions to provide assistance to students, Barton employees, and visitors, and the general public calling the campus. 4. To serve as liason between Admissions Office and the Barton community both internally and externally. 5. To fulfill duties as assigned in a timely and effective manner. Knowledge, Skills and Abilities: Experience - Up to six months of similar or related experience. Education - A high school education or GED required. Interpersonal Skills - Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the college for purposes of giving or obtaining information, building relationships, or soliciting cooperation. Other Skills - High school education or GED required. Associate's degree preferred. Excellent computer knowledge, typing skills, and experience; ability to create, compose and edit written materials; strong organizational and concentration skills, ability to multi-task and give attention to detail; records management skills; good office management skills and ability to work independently Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work. Regular exposure to favorable conditions such as those found in a normal office or classroom.
