The Administrative Support Specialistr esponsibilities include but are not limited to the following: Working with departmental budgets and grants, whichwill require using a p-card to order supplies and equipment and maintain accurate records (process journal entries, and direct paymentforms).  Process travel requests and reimbursements. Coordinate classroom schedules for all Holmes Center classrooms andsubmit schedule changes to Banner. Submit Dean's recommendations to the College and hire students and non-studenttemps. Submit physical plant work orders. Coordinate special projects and reports for accreditation and documentation forgrant agencies. Keep the departmental website updated. Assist with the front office area when needed, including answeringphones, incoming/outgoing mail, copying, faxing, filing, etc. Knowledge, Skills, & Abilities Required for thisPosition Program knowledge includes acceptable interpretations, applications, and allowable exceptions of written policiesand procedures. Requires knowledge of organizational structure, functions, services, programs, office procedures, andpractices. Knowledge of basic HR practices, timesheet submission, hiring, disciplinary procedures, classification, pay, andperformance management. Budget management for departmental and grant budgets. Knowledge of Travel requests andreimbursements for departmental faculty, staff, and students. Supervises student temp workers. PreferredQualifications

$38,127 - $43,542 Required Functional Competencies toSuccessfully Perform Job Duties. Budgeting: Exercises responsibility for administering the budget,which includes making recommendations regarding the use and distribution of funds. In conjunction with the administrator, advisessubordinate units on fiscal matters such as budget planning, budget analysis, and funding sources. Manages the overall budget for theadministrator by reporting expenditures and allocation of funds and sources on a regular basis. Interprets and applies all aspects of theP-card purchasing policies and procedures as well as special funds accounting for grants along with university policies and procedures ofpurchasing. Knowledge-Program: Program knowledge includes acceptable interpretations, applications, and allowableexceptions of written policies and procedures. Requires knowledge of organizational structure, functions, and services, programs, officeprocedures and practices. Knowledge of basic HR practices, time sheet approval, hiring, disciplinary procedures, classification, pay, andperformance management. (For positions that officially supervise other SPA positions orStudents.) Information/Records Administration: Coordinates varied records processing activities requiring theapplication and some interpretation of agency procedures, policies, laws, and regulations. Reviews information for completeness and accuracyusing multiple guidelines. In-depth knowledge of the archive procedures and tenure and promotion policies and procedures. In-depth knowledgeof the Resource Manual, University Policies and Procedures, Faculty Search requirements. Maintains records of faculty needs such as travel,contracts, and scheduling.
