Position SummaryFull-time position available on or after July 1, 2024 for Admissions.The Administrative Support Coordinator I is integral to the success of the Student Recruitment and Outreach (SRO) office, focusing on providing comprehensive support to enhance prospective student experiences and contribute to the overall success of recruitment initiatives. Responsibilities encompass administrative support, travel coordination, communication management, event facilitation, and involvement in special projects, ensuring the efficient operation of SRO activities and the achievement of outreach goals.Job DutiesDuties include but are not limited to:Serves as a resource for the campus community and public on university policy and procedures.Provide administrative support by managing records, processing information, greeting guests, answering phones, and assisting with email responses.Coordinate meetings, prepare agendas and documents and record minutes.Coordinate campus visit programs, including scheduling tours, workshops, and advising appointments, and serve as the main point of contact for tour inquiries and special requests.Handle travel coordination tasks such as arranging travel, processing travel documents, and maintaining travel records.Provide support for event logistics, managing contracts and agreements, coordinating publicity materials and activities, and supporting community outreach efforts.Develop and maintain databases for reporting purposes.Other duties as assigned.Minimum QualificationsEducation:entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents.Experience:several years of related office work experience.Preferred QualificationsBachelor's degree in a related field.Minimum of 2 years of experience in coordinating administrative functions in a large academic or administrative office setting.Experience working in higher education.Proficient in English and Spanish.Knowledge, Skills, AbilitiesExperience to be fully functional in all technical aspects of work assignments.Ability to understand and operate in a variety of organizational structures.Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.Thorough knowledge of English grammar, punctuation, and spelling.Ability to clearly communicate orally and in writing.Ability to use and quickly learn new office support technology systems and software packages.Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.Ability to independently handle multiple work unit priorities and projects.Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.Working knowledge of budget policies and procedures.Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.Ability to draft and compose correspondence and standard reports.Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.Physical RequirementsThe physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of the job.
