Job Description The Administrative Support Associate plays a vital role in ensuring smooth operations within the Patient Transport Services department. This multi-faceted position requires strong customer service skills, attention to detail, and the ability to thrive in a fast-paced environment. The ideal candidate will be responsible for answering phone calls, dispatching work requests, monitoring environmental alarms, assisting with patient transporter assignments, and contributing to process improvement initiatives.
As an Administrative Support Associate, you will serve as the primary point of contact for internal and external customers, providing professional and courteous service. You will have the opportunity to collaborate with various teams, participate in special projects, and contribute to the overall efficiency of the department.
Duties and Responsibilities Answer incoming phone calls from public, employees, patients, and visitors in a professional manner. Document and dispatch work requests accurately and efficiently. Monitor and respond to environmental alarms, including doors, gates, parking lot intercoms, and CCTV systems. Assist with the workflow and assignments for patient transporters. Participate in or lead special projects aimed at improving processes and increasing departmental efficiency. Provide feedback and suggestions to leadership regarding process improvements and performance optimization. Perform all assigned duties in a competent, professional, and courteous manner. Required Experience/Skills Excellent customer service skills with the ability to handle difficult situations and resolve conflicts. Strong written and verbal communication skills in English. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to comprehend instructions, correspondence, memos, and other forms of communication. Ability to thrive in a stressful, fast-paced environment. Experience in an administrative support role and/or customer service is preferred. Healthcare, call center, or dispatch service experience is preferred. Nice-to-Haves Familiarity with medical terminology and procedures. Proficiency in additional software or tools relevant to the role. Experience in a similar healthcare or service-oriented environment. Education High School Diploma or GED equivalent is required.
