A current resume, Three professional references, Department Summary The Global Studies Institute supports internationally oriented research centers, programs, and initiatives to enhance faculty research, enrich the student experience, and promote the University of Oregon's academic excellence with partners around the world. The Global Studies Institute hosts and supports nine of UO's key international centers, institutes and initiatives (APRU Sustainable Cities and Landscapes Hub, Center for Asian and Pacific Studies, Center for Applied Second Language Studies, Oregon Center for Translation Studies, Center for Global Health, Islamic Studies Initiative, UNESCO Crossings Institute, UO Global Justice Program, and Oregon African Studies Consortium). It also serves as an incubator, coordinator, and promoter of the full range of international programs, projects, and initiatives on campus through the Global Oregon initiative.
Position Summary The purpose of the Administrative Program Specialist position is to provide administrative support for the staff of Global Studies Institute including database and information management; communication with students; internship application review/acceptance; project/program coordination; event planning; program publicity/promotion; research, statistics, reporting, and data analysis. The APS will create data and statistical reports for review by GSI and DGE leadership. They will assist in the development and establishment of protocols to improve workflows and efficiencies.
The Administrative Program Specialist for the Global Studies Institute will help manage email, events planning, and the promotion of Global Works projects. This position is in regular communication with students, international visiting scholars, administrative offices and departments on campus and international partners as well as makes appointments, directs inquiries, and determines priorities related to telephone, e-mail, and walk-in visitor interactions. Minimum Requirements Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR An equivalent combination of training and experience. One year of postsecondary education may be substituted for up to one year of the experience. Professional Competencies Proficiency with Microsoft Office suite Proficiency in database design and organization Ability to independently prioritize and multi-task in a fast-paced environment Commitment to, experience with, and ability to work effectively with people from diverse cultural backgrounds Ability to handle sensitive and confidential materials, and to make good judgements related to confidentiality Professional communication skills Excellent organizational and time-management skills Preferred Qualifications Language proficiency in a language other than English, preferably Chinese, Korean or Japanese Customer service experiences Experience working with people from diverse cultural backgrounds FLSA Exempt: No
