Scheduled Hours 40 Position Summary Assists department or division Chief in administration of department financial and operating procedures and programs. Coordinates and manages human resources, purchasing, and financial management for the department or division. Performs administrative duties of a complex and confidential nature in support of senior management; may supervise assigned non-exempt staff. Job Description Primary Duties & Responsibilities Manages calendars (including service schedule for faculty), plans meetings, coordinates and schedules travel/hotel â" local and international. Assists the Division Chief, nurse manager, and other leadership in administration of the division. Maintains liaison with all levels of administration, internally and externally, to coordinate department business, accomplish directives, and facilitate the resolution of problems. Example: faculty appointments, onboarding, promotion, and professional portfolios. Interprets departmental policies and procedures, making decisions on specific operating problems and issuing instructions in the name of the departmental and divisional chief in accordance with departmental precedents and policies. Assists the leadership/chief with the yearly budget, providing current and past budgetary needs, and other data requests. Assists with divisional initiatives and projects. Assists and advises department or division chief and staff members of budgetary and related problems; prepares initial budgetary recommendations for approval by department or division head by considering past requirements and expenditures and present program plans. Monitors certain fund balances and distributes as needed. Responsible for the monthly faculty on call pay (backup for fellow extra pay spreadsheet as needed). Prepares financial and operational reports and analyses reflecting progress, adverse trends and appropriate recommendations or conclusions. Coordinates various personnel functions including, but not limited to, hiring, disciplinary actions, grievances, promotions, transfers, and vacation schedules. May supervise and coordinate the work of designated employees, reviewing completed work for adherence to instructions or correctness. May assist in the preparation of grant proposals and applications to include compilation of data and preparation of budget expenditures; monitors and verifies expenditures; ensures compliance with University and sponsoring agency policies and procedures; prepares administrative reports for submission to sponsoring agency. Schedules weekly Divisional Conferences with WebEx/conference calls and attends meetings to ensure AV is working properly. Maintains AMION (on call) changes. Manages the Divisionâ™s reimbursements to faculty and fellows and ensures they are reimbursed in a timely manner. Assists with appointment and promotion of faculty members. Provides coverage of the fellowship program during employee absences. Manages all incoming faculty recruitment accommodations â" Including, but not limited to, hotel, travel, itinerary, and transportation. Maintains WUPS updates for Chief as well as well as changes to division faculty based on promotions. Maintains Division faculty page and coordinates changes as needed. Performs other duties as assigned. Preferred Qualifications Bachelorâ™s degree in a healthcare or business related field is strongly preferred.  Experience in a medical, research or educational environment. Understanding of financial and human resources related issues.  Skill in development and documentation of operating and administrative policies and procedures.  Excellent oral and written communication skills.  Strong critical thinking, problem solving and attentiveness to detail. Basic knowledge of accounting principles and procedures.  Ability to analyze problems and develop creative solutions in a wide variety of situations.  Ability to function independently in a professional and confidential manner. Required Qualifications High school diploma or equivalent high school certification. Five years of relevant experience with administrative or budgetary support. Combination of education/experience may be substituted on an equivalent basis. Demonstrated proficiency in Microsoft Office Suite. Grade G09-H Salary Range $22.92 - $35.49 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
