This position leads, directs, manages, and oversees the administrative day-to-day operational, business/financial operations, and human resource functions of the department. It functions independently in directing the work of administrative support staff to support the needs of the department, and in handling special projects and assignments requested by the Department Head. Serves as an advisor to the Department Head on long-range planning, administrative and financial matters. Acts as a liaison to the Deanâ™s office for finance, HR, and other department matters. This position requires a results-oriented leader with strong financial acumen. They must be proficient in budgeting, financial analysis, and departmental financial controls. Excellent communication and interpersonal skills are essential for collaboration with department heads, faculty, staff, and college administration and to interact effectively across multiple reporting relationships and to collaborate with colleagues internal/external to the institution.
Minimum salary: $110,000. Final salary offer will be based on individual qualifications and experience.
Operational & Financial Leadership Management  (60%)
Oversight of departmental budgets (O&M, scholarships, endowments) in collaboration with the department head and lead accountant.
Oversee departmental spending across various accounts (non-sponsored, endowed, foundation) and ensure compliance.
Serve as the primary financial & HR contact for the college, providing information and guidance on departmental finances.
Implement controls and procedures to ensure efficient and responsible use of resources.
Analyze financial data and generate reports to identify trends and forecast future needs.
Partner with the department head for long-range planning and strategic resource allocation.
Supervise administrative staff across various departmental functions (finance, HR, student services, etc.) Conducting performance reviews and staff meetings
Ensure efficient day-to-day operations and business needs are met by coordinating workflows among the staff.
Identify and implement improvements in customer service and organizational efficiency
Lead or participate in special projects
Strategic Collaboration and Communication (20%) Act as a trusted advisor to the Department Head on financial, operational, and strategic matters.
Collaborate with HR on staff payroll, benefits, and salary adjustments.
Work effectively with faculty and staff to understand and address their needs.
Maintain open communication with the Dean's office regarding departmental matters.
Represent the department in key college meetings and committees.

Human Resources (15%)
Acting as the department's expert on HR policies and procedures
Working with HR to improve employee engagement
Encouraging staff professional development
Manage staff payroll and benefits, ensuring accuracy and compliance with regulations.
Facilitating the hiring process
Work with HR to review and process salary adjustments and reclass requests, considering financial implications.
Acting as the department's expert on HR policies and procedures
Work with payroll accountant to ensure that all appointments are processed in the payroll system to avoid delayed pay or over payments.

Facilities & Space Management (5%)
Manage departmental inventory of capital assets, optimizing use and minimizing costs.
Oversee office space allocation, considering space utilization and efficiency.
Serve as Departmental Facilities Representative
Bi Annual Space Survey
REQUIRED QUALIFICATIONS
-BA/BS degree or a combination of related education and work experience to equal 8 years.
-Experience with financial planning or budget management.
-Demonstrated proficiency in strategic analysis
-Demonstrated ability to identify and resolve complex problems proactively.
-Demonstrated ability to organize and direct multiple projects and interrelated financial activities with major operational or funding impact.
-Demonstrated ability to anticipate the department's business needs, develop and analyze alternatives, and make recommendations to faculty and unit leaders regarding budgets and sponsored projects.
-Ability to constructively communicate complex financial data and issues to a non-financial audience

PREFERRED QUALIFICATIONS
Master's degree in Business Administration (MBA), Public Administration (MPA), or related field (highly preferred).
Exceptional interpersonal skills and the ability to build strong relationships with faculty, staff, and department heads.
Experience working in a higher education setting (highly preferred).
Experience supervising administrative staff in a similar environment.
Proven track record of successfully managing department budgets
Experience with financial reporting tools and software (e.g., Banner, PeopleSoft).
Proven track record of achieving financial goals for large projects typical of departmental operations, e.g., large center grants.
Knowledge of human resource management principles and practices.
Experience with project management methodologies.
Strong leadership skills with the ability to motivate and inspire staff.
Excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
Strong analytical and problem-solving skills.
