The position in our St. Louis office requires a dependable, polished, and poised individual who is a self-starter with the ability to provide a high-level of customer service and support to the office. The Administrative Coordinator reports to the Office Administrator who is based in our Denver office.
The Administrative Coordinator is expected to be in the office Monday through Friday from 8:30 AM to 5:00 PM and ideally is flexible extend the hours as needed for onsite events or client meetings. This role is non-exempt with eligibility for overtime pay when appropriate.
Responsibilities include but are not limited to:
Coordinate logistics for administrative meetings and events, including diversity initiatives, trainings, and practice team special meetings
Assist Office Administrator with coordination and execution of firm sponsorships, client development and entertainment tickets, and other client events
Assist the Office Administrator with office budget preparation and tracking
Process expenses in expense management system and maintain tracking system for vendor invoices
Submit office maintenance requests in building tenant service system
Assists with the scheduling of conference rooms and work with practice coordinators, office services, and IT personnel to ensure seamless client services including but not limited to arrangements for food orders, video conferencing, and computer equipment
Assists with clerical duties as requested

Qualifications:
Excellent written and oral communication skills including tactful interaction with other professionals and proper etiquette
Professional, positive attitude and strong commitment to customer service
Proficiency in Microsoft Office Suite
Experience utilizing online resources for research and reservation
Ability to work harmoniously and effectively both independently and with others as part of a team
Customer service or reception experience in a large office environment, preferably in a professional services firm
Event coordination experience a plus
Demonstrate initiative, strong work ethic, and willingness to learn new skills
Takes ownership of the job and is flexible to work overtime, as needed
Ability to analyze alternatives and to solve problems decisively
Attention to detail a must
High regard for confidentiality
Reliable and punctual
High school diploma required; Bachelor's degree preferred
