Job Title: Administrative Coordinator Employer: East Tennessee Clean Fuels Coalition Location: Knoxville, Tennessee Market Range 06 Position Summary: East Tennessee Clean Fuels Coalition (ETCF), housed in the Institute for a Secure & Sustainable Environment (ISSE) within the Tickle College of Engineering, is seeking an experienced and dedicated Administrative Coordinator. This role is integral to the efficient operation of our projects and non-profit activities. The Administrative Coordinator will assist with a portfolio of 2-5 projects, funded by both membership dues and contributions from Federal and non-federal entities. Reporting directly to the ETCF CEO, the Coordinator will work closely with various internal and external stakeholders to ensure smooth project execution and organizational efficiency. Key Responsibilities: * Administrative Coordination * Assist with deliverables, coordination, and planning for assigned projects or non-profit administrative tasks. * Identify and address process delays, providing innovative solutions. * Collaborate with internal and external team members. * Attend project or administrative meetings as necessary. * Track goals and milestones, ensuring timely completion of deliverables. * Investigate and mitigate potential negative impacts on projects. * Nonprofit Financial Coordination * Track and report on ETCF's finances, including managing fiscal records. * Ensure accurate storage of all income and expense receipts in QuickBooks. * Collaborate with ETCF's contracted accountants to maintain financial accuracy.Monitor bank transactions, invoices, and bills, ensuring proper allocation in QuickBooks. * Prepare financial reports and documents for ETCF Board Meetings. * Office Staff Coordination * Participate in weekly staff meetings. * Ensure all financial items are complete and properly recorded. * Implement guidance from senior staff into project operations. * Delegate tasks to Project Assistants, providing necessary guidance for successful completion. Required Qualifications: Proficiency in administrative management, QuickBooks, and supporting software (Microsoft Office Suite and Google Suite). Strong communication, fiscal tracking, problem-solving, and customer service skills. Experience with Excel for budget tracking and monitoring. Ability to manage large amounts of administrative data and track complex deliverables and documentation. Business writing experience is a plus.
