The OHSU Street Nursing Team is a grant-funded initiative that delivers patient care to unhoused or other individuals outside of traditional patient care venues. This innovative model for clinical and didactic nursing education at the undergraduate and graduate levels meets our unhoused community members where they are and aims to improve the health of this population. The Administrative Coordinator is responsible for coordinating the administrative work on this grant while liaising with the Grants/Contract team and the OHSU Street Nursing Team members. The Administrative Coordinator performs and coordinates a wide variety of advanced technical and administrative related tasks to ensure delivery of grant objectives and smooth operations in collaboration with the Program Manager and the Program Director. The person will maintain project records in appropriate databases and files, support preparation of reports, maintain supply inventory, schedules, and coordinate nursing student orientation; assist in data dissemination such as dashboard, graphs, presentations, and keeps project website and trainings up to date.
Meeting Management Plans and coordinates meetings with Street Nursing Team members, stakeholders, and students as needed Drafts agendas for meetings and distributes for review in advance of meeting. Attends all meetings to serve as the expert on administrative functions for the team, such as allocation of resources, purchasing supplies, etc. Take detailed minutes of all grant-related meetings and other meetings as requested. From meeting agendas, develop to-do lists and procedures for team as needed. Provides technological support for grant activities Assists team members with using databases and other technology systems In coordination with School of Nursing (SON) Information Technology (IT), develops and keeps project website up to date. Create and maintain project databases Orders supplies and supports budget management Tracks purchases and manages grant purchasing card. Maintains project records and files. Coordinates with post award grant specialist to ensure budget accuracy Assists with grant reporting Produces written reports for internal and external stakeholders. Works with key staff at OHSU SON to ensure all needed data for reporting is accurate and up to date May work with grant leads and post award administrator in writing reports. Designs dashboards, posters, presentations, and documents as needed Disseminates information and coordinates communications with grant team and partners.
Cross-team collaboration Collaborates with program manager to coordinate student placements and orientations Manages Street Team outreach and meeting space Maintains relationship, communicates and coordinates with all key stakeholders in the school, university and community (e.g., Campus Associate Deans, rural Campus personnel, faculty, students, telehealth, preceptors, alumni, clinical partner administrators and liaisons) Makes travel arrangements for team members Coordinates with team members and partners to arrange day and overnight travel Book rental cars, flights, hotels, and dining reservations/catering as needed With finance/grants team, ensure team members adhere to all travel policy procedures set forth by OHSU and the federal government Assist with processing per diems and reimbursements upon return. Education Four years of general office or secretarial experience; OR An Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelor's degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience. Job Related Knowledge, Skills, and Abilities Good communication skills, including written, verbal, and electronic. This position is located in Ashland, Oregon and may involve travel to sites across the southern part of the state.
