Job Type: Officer of Administration Regular/Temporary: Regular Hours Per Week: 35 Salary Range: $62,000- $65,000 The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary
Columbia University recently combined its Title IX, Gender Based Misconduct, Office of Equal Opportunity and Affirmative Action (EOAA), and Office of the Protection of Minors teams into one centralized office. This new office will focus on advancing the University???s efforts in all of these areas. To assist in meeting this objective we are seeking an Administrative Coordinator to act as the Office???s gatekeeper and field a variety of high-priority and confidential inquiries and requests. The incumbent will work independently and will be required to use sound judgment when handling sensitive information. They will also engage in frequent interactions with diverse groups of employees, students, and faculty. The Administrative Coordinator will triage calls and correspondence directed to the office as well as the Vice Provost for Equal Opportunity and Affirmative Action. This individual will enhance our office's reputation by building friendly, trusting relationships with all constituents.
The Administrative Coordinator reports to the Vice Provost for Equal Opportunity and Affirmative Action, who is responsible for the oversight of this new office.
Responsibilities
??? Provide sophisticated calendar management for the Vice Provost for Equal Opportunity and Affirmative Action utilizing judgment and an understanding of priorities to ensure the daily schedule is organized towards day-to-day priorities. Implement time management best practices to manage projects and conflicting priorities.
??? Improve the efficiency of the day-to-day administrative operations of the office with a focus on creating, reviewing, and implementing functional procedures.
??? Manage the front office/reception desk area acting as the initial point of contact for all scheduled or unannounced visitors, and phone calls. Responding to inquiries and/or redirecting as necessary. Utilize discernment and an understanding of the department's key functions to ensure messages are delivered to the appropriate parties in a timely fashion.
??? Serve as the Office???s primary liaison with Columbia University Facilities and Operations as well as manage the process for setting up external contractors.
??? Coordinate travel and detailed itineraries for conferences and workshops including the handling of registration and memberships. Develop a detailed system for managing, organizing, and maintaining office records with special attention to documents that are required to be confidential.
??? Create and implement a process to track office inventory ensuring it is up to date and direct ordering of supplies, furniture, and materials as required. Input and track submission for services from interpreters, technicians, and other vendors as needed.
??? Serve as a liaison to the Department of Public Safety, the University's Registrar, and Columbia Residential and Campus Services. Requests campus access to investigations including CU's Student Information System, building security, and housing assignment systems.
??? Assist the Director of Operations with finance and budget duties including processing of invoices, expenditures, reimbursements, etc. Liaise with the Provost Office Finance as needed.
??? Support the hiring processes for all staff, including working closely with EOAA hiring managers to draft and revise job descriptions, advertise job opportunities, schedule interviews, and track candidate progress and communication. Liaise with Provost Office Human Resources as necessary.
??? Coordinate with Columbia University Information and Technology (CUIT) to make certain office technology is maintained and updated as needed. Coordinates with CUIT on equipment-related services, invoices, and payments.
??? Performs other duties as assigned.
Minimum Qualifications
Bachelor's degree and/or its equivalent, 2 years experience minimum required.  Preferred Qualifications
Excellent verbal and written communication and organizational skills, good judgment, an appreciation of confidentiality and discretion, and attention to detail. Candidate must be well organized and able to manage a demanding workload and complex cases in an accurate and timely fashion
Able to communicate effectively in both oral and written form. This position requires the ability to interact positively, constructively, and effectively with professional staff, students, faculty, and organizational stakeholders. Strong interpersonal, customer service, program planning, and organizational skills required.
Resourcefulness, discretion, attention to detail, flexibility, and the ability to prioritize and manage multiple tasks are essential. Ability to work independently and follow through and handle multiple tasks simultaneously. Proficiency with MS Office Suite, Google Suite, Maxient, Adobe Acrobat Pro, and other desktop publishing and database software. Equal Opportunity Employer / Disability / Veteran
