Full job description Overview:
Are you a friendly, organized, and customer-oriented individual seeking a rewarding role in a Dairy Service Company? We are looking for an Administrative Clerk/Dispatcher to join our team and play a pivotal role in coordinating customer calls, creating work orders, and dispatching technicians. This job position also encompasses a wide array of duties and daily tasks, including assisting in billing customers, processing payments, assisting techinicans in day-to-day tasks, and working alongside the manager. The role requires effective communication both internally and externally, as well as proficiency in utilizing our software to manage information efficiently.
Responsibilities include but not limited to:
Answering Phone Calls: Serve as the initial point of contact for customers, vendors, and other stakeholders. Provide excellent customer service by addressing inquiries, scheduling appointments, and directing calls to the appropriate personnel. Work Order Creation: Create detailed work orders based on customer calls, ensuring accuracy and completeness of information. Document customer issues, service requests, and any relevant details to facilitate efficient resolution. Dispatching Technicians: Utilize our web-based dispatch board to assign technicians to service calls. Coordinate schedules, prioritize tasks, and ensure timely dispatch of technicians to customer locations. Assisting Managers: Collaborate with the Managers to assign calls to appropriately skilled technicians. Communicate job requirements, customer expectations, and any special instructions to ensure successful service delivery. Administrative Support: Assist with various administrative tasks including filing, data entry, and document preparation. Maintain organized records, update databases, and contribute to the smooth operation of office processes. Communication: Effectively communicate information both internally within the company and externally with customers and vendors to ensure smooth operations. Other duties and responsibilities that may be added or assigned by management. Skills / Education / Requirements:
High School Diploma or GED: Minimum educational requirement for this position. Age Requirement: Applicants must be 18 years of age or older to apply. Customer Service Skills/Experience: Previous experience in customer service, logistics, or related fields is preferred but not required.Demonstrated ability to deliver exceptional customer service in person, over the phone, and via email. Attention to detail and accuracy in documenting information. Effective Communication: Strong communication skills, both verbal and written, are essential for interacting with customers, colleagues, and vendors. Software: Familiarity with QuickBooks is a plus, or other related products. Proficiency in using web-based applications for dispatching and scheduling. Ability to thrive in a fast-paced environment and work well under pressure. Position requires the ability to sit or stand for long periods of time; the ability to stoop, crawl, bend, twist, reach, and crouch. Lift and carry up to 50 lbs.
