The Division of Pediatric Hematology/Oncology is dedicated to the pursuit of a cure for every child.  The University of Minnesota Pediatric Hematology/Oncology Division supports a comprehensive clinical, research and education program with a focus on five core areas: classical hematology, leukemia, brain tumors, solid tumors (sarcomas) and childhood cancer survivorship. Our physicians and researchers work together with one common purpose: to find a cure for every child. The Pediatric Hem/Onc Division includes 19 faculty and 55 administrative and research staff.
The Administrative Associate will support division faculty in their day-to-day activities, including managing complex scheduling, understanding and informing faculty of University policies, and arranging travel. 
This position is a combination of work-from-home and on-campus days. 100% - Achieve Pediatric Hematology and Oncology Division Administrative Goals Administration (50%) Develop and oversee administrative and operational workflow for assigned programs/projects. Conduct analysis and make recommendations to improve effectiveness of business operations to best align with overall department/division goals. Represent the HEM/ONC Division to internal and external agencies and partners. Ability to identify and act on potential questions/problems and independently resolve these matters. Submit timely payments for clinical trial invoices and divisional vendors. Identify vendors and negotiate business/services contract(s). Examine contract details to ensure terms are fulfilled according to the terms. Independently resolve contract-related issues. Utilize knowledge of division faculty research projects and associated timelines and deliverables to ensure time-sensitive requests are fulfilled. Serve as the point person for the faculty in the division. Event planning and management Administer faculty recruitment processes Administer annual faculty performance reviews Onboard/obtain access for volunteers, students and lab staff Manage medical/resident rotations Assist with various daily operations as needed Faculty Support (50%) Manage several complex faculty calendars, including prioritizing and scheduling appointments, planning meetings, and scheduling personnel interviews for assigned faculty. Independently update faculty CVs, biosketch and trainee information tables on a regular and ongoing basis for assigned faculty. Obtain and process documentation for performance appraisals, promotion and tenure, and committee responsibilities, as assigned. Coordinate travel arrangements for meetings, conferences, and speaking engagements (airline reservations, hotel reservations and meeting registration). Submit travel and miscellaneous expenses for reimbursement. Manage professional and journal memberships for assigned faculty. Onboard new faculty including ordering computers, phones, pagers, and other equipment as necessary. Required Qualifications: Bachelor's degree or a combination of related education and work experience equal to four years. Previous experience supporting both clinical and academic faculty members. Strong written and verbal communication skills. Ability to develop and maintain positive working relationships. Microsoft Office and Google Workspace proficiency. Excellent organizational skills and strong attention to detail. Ability to work independently and in a team setting. Strong technical and project management skills. Responds to inquires professionally, accurately and in a timely manner. Experience in supporting development of manuscripts and/or presentations, including editing for grammar, citation, and refining figures and tables. Preferred Qualifications: Previous work experience in an academic medicine setting. Demonstrated ability to manage complex meeting schedule arrangements. Strong problem-solving skills and reputation for taking initiative. Experience with clinical scheduling and electronic health applications such as Qgenda and EPIC.
